Job description

The Membership & Engagement Coordinator plays a critical role in advancing the Museum's institutional sustainability by cultivating meaningful relationships with members, volunteers, and community members. This position sits at the intersection of strategy, data management, customer experience, and community engagement, supporting the Museum’s fundraising, programming, and audience-development goals.
Reporting to the Director of Development, this role manages the day-to-day operations of the membership program while contributing to long-term growth strategies focused on retention, engagement, and equity-driven access. The coordinator serves as the internal administrator of Veevart, the museum’s membership and CRM platform, ensuring data integrity, reporting accuracy, and cross-departmental alignment.
This role is ideal for a relationship-oriented, detail-driven professional who understands membership as a pipeline to deeper engagement, philanthropy, and community relations.
  • Serve as primary staff administrator for membership records in Veevart, ensuring accurate data entry, segmentation, reporting, and lifecycle tracking
  • Process memberships, renewals, upgrades, and payments with accuracy and timeliness
  • Generate and distribute welcome communications, renewal notices, receipts, acknowledgments, and invoices
  • Maintain policies and procedures related to membership benefits, access, and fulfillment
  • Monitor data and coordinate with Finance to ensure reconciliation and reporting accuracy
  • Deliver a high-touch, values-aligned member experience that reflects DuSable’s mission and cultural ethos
  • Respond to member inquiries with professionalism, warmth, and responsiveness
  • Develop systems to track member engagement across exhibitions, programs, events, and giving
  • Support the evolution of membership benefits to align with exhibitions, pillar programs, and community priorities
  • Staff membership tables and engagement touchpoints at select Museum and off-site events
      Strategy
  • Collaborate with the Development and Marketing teams to plan and implement strategic membership campaigns (acquisition, renewal, re-engagement, and on-site conversion)
  • Partner cross departments to integrate membership into exhibitions, public programs, and community activations
  • Support the Director of Development with membership analytics, trend analysis, and projections
  • Assist in piloting new engagement initiatives tied to the Museum’s 65th Anniversary and long-term institutional goals                    Volunteer & Auxiliary Board Support
  • Coordinate volunteer engagement related to membership, donor events, and annual giving initiatives
  • Serve as staff liaison for membership-related activities with auxiliary groups (e.g., Women’s Board, advisory groups, committees)
  • Support member-driven stewardship opportunities and community-based activation                                                                           Reporting & Institutional Alignment
  • Prepare regular reports on membership performance, trends, and benchmarks for internal leadership and Finance
  • Maintain a working understanding of Museum exhibitions, programs, lectures, and initiatives to communicate effectively with members and guests.
