We are seeking a full-time Marketing Assistant to provide administrative and marketing support to the sales team, helping the team achieve and exceed sales and occupancy goals while consistently representing the organization's brand. This role provides front-desk coverage, greets and assists customers, and supports effective communication between the sales team and key stakeholders.
KEY RESPONSIBILITIES:
  • Greet customers and guests in the Marketing Office, Monday - Friday, 9:00 AM - 5:00 PM.
  • Maintain Aline CRM records, including inquiries, customer data, lead assignments, and follow-up.
  • Answer inquiry calls, gather customer information, and respond to questions as directed.
  • Maintain sales collateral and promotional inventory; order supplies and code invoices.
  • Maintain and audit resident and client admissions files.
  • Track admissions in Aline CRM and provide weekly updates.
  • Maintain accurate resident and apartment inventory.
  • Assist with planning and executing marketing events.
  • Create and maintain departmental SOPs.
  • Prepare and format presentations for marketing, resident, and board meetings.
  • Complete appointment and event reminders and follow up on required admissions forms.
  • Prepare content and photos for social media and coordinate event postings.
  • Support weekly stakeholder reports.
  • Maintain a welcoming and professional Marketing Office environment.
  • Participate in marketing communications, stakeholder interactions, and team meetings.
  • Perform essential physical requirements, including standing or sitting for periods of time, moving indoors and outdoors, navigating stairs, operating office equipment, bending, reaching, lifting up to 20 pounds, and distinguishing colors and spatial relationships.

Requirements
REQUIREMENTS:
  • High school diploma or GED required; bachelor's degree in Business, Marketing, or Organizational Development preferred.
  • Valid VA driver's license with a safe and acceptable driving record required.
  • Minimum of three (3) years of relevant experience, preferably in sales support and marketing.
  • Proficiency with CRM systems (e.g., Aline or similar) and Microsoft Office Suite.
  • Strong data entry, database management, and reporting skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Customer service-oriented with a professional, responsive approach.
  • Ability to work independently and collaboratively within a team.
  • Strong problem-solving skills with a focus on process improvement and efficiency.
  • Basic understanding of marketing, lead management, and sales support.
  • Event coordination or support experience preferred.
  • Ability to handle confidential information with discretion.
