Job Summary

Summary
Responsible for overseeing administrative functions and operations and ensuring efficient and effective delivery of administrative support services to clinical and non-clinical departments. This position will manage administrative staff, coordinate office operations, optimize processes, and maintain compliance with organizational policies and healthcare regulations.

Essential Functions
Oversee daily administrative operations, including office management, scheduling, record-keeping, data entry, and clerical support.
Develop, implement, and maintain standard operating procedures (SOPs) to ensure consistent and efficient administrative practices across the organization. Monitor and optimize administrative workflows to improve efficiency, reduce costs, and enhance service delivery.
Supervise, train, and develop a team of administrative professionals, including receptionists, clerks, coordinators, and office assistants. Ensure that staff are well trained on organizational policies, customer service standards, and healthcare compliance requirements.
Ensure compliance with healthcare regulations, organizational policies, and data privacy standards in all administrative activities. Develop and maintain policies and procedures related to administrative services, ensuring compliance with local, state, and federal regulations.
Conduct regular audits and assessments to identify and address potential compliance risks.
Collaborate with clinical, financial, HR, and other departments to ensure seamless administrative support and alignment with organizational goals. Serve as a liaison between administrative services and other departments to address operational needs, resolve issues, and support cross-functional projects.
Ensure that administrative staff provide exceptional customer service to patients, visitors, and internal stakeholders. Handle escalated customer service issues, complaints, and inquiries to ensure timely and satisfactory resolution.
