Job description

Chapman and Cutler LLP is seeking to hire a Part-Time Practice Support Clerical Assistant to join our Salt Lake City office. Under the supervision of the Office Supervisor, this position will perform a variety of clerical duties and assist with projects as assigned. We will accept applications from professionals with previous clerical experience, but this opportunity would also be an excellent opportunity for students looking for part-time work in a professional setting. The position requires an in-office presence but includes flexibility for some remote work.

The responsibilities of the Part-Time Practice Support Clerical Assistant will include:

  • Works independently and as part of a team to meet the clerical and administrative requirements of the Firm.
  • Provides direct administrative/clerical support including, but not limited to, timekeeping, expense reports, scheduling, photocopying and scanning, blacklining, collating, preparation of packages/labels/envelopes for mailing.
  • Answers phones, accepting packages and other deliveries; delivers incoming mail to attorneys. Processes outgoing packages for shipment through FedEx, UPS and USPS.
  • Provides assistance with department- and matter-specific tasks, including facilitating the closing process by creating signature packets, setting up electronic closing rooms, compiling closing documents and closing sets.
  • Maintains good public relations with clients; observes confidentiality of attorney-client relationship; follows Firm guidelines for protecting client information.
  • Works one-on-one with attorneys, paraprofessionals and administrative assistants for projects that require special or specific instruction, and works independently on those tasks as directed.
  • Operates standard office equipment.
  • Exhibits understanding of how individual tasks affect other long-term projects and the department functioning as a whole.
  • Creates and maintains client and general files.
  • Receives clients and visitors and maintains good public relations with clients.
  • Attends scheduled training sessions and utilizes information in daily work production.
  • Proofreads materials for grammatical, typographical, or spelling errors.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Computer knowledge, Mac OS preferred
  • Previous office experience preferred, including the use of Microsoft Office
  • Strong working knowledge of Microsoft Excel, including the ability to maintain spreadsheets and use basic formulas
  • Strong written and verbal communication skills required
  • Commitment to client service and the ability to work independently are critical
  • Attention to detail and timelines; ability to organize and prioritize numerous tasks and complete them under time constraints
  • Oriented toward teamwork and is proactive in establishing helpful working relationships with coworkers; shows initiative in seeking additional tasks to maintain steady workload
  • Displays competency while learning new tasks and ability to ask thoughtful questions to complete assignments
  • Ability to communicate in a friendly, approachable and client service-oriented manner by phone and in person
  • Has a high degree of organization
  • Exhibits an understanding of, and properly utilizes, the Firm's reference materials, including training materials and internal online information
  • Respects the Firm's policies and procedures
