The Opportunity

We are looking for a charismatic, highly organized Patient Care and Scheduling Coordinator to be the first face of our practice. As the first point of contact, you will shape the entire patient experience. This is a fast-paced, relationship-driven role that combines office administration, patient hospitality, and scheduling logistics.

Key Responsibilities

  • Patient Hospitality: Warmly greet patients and parents upon arrival, manage the check-in/check-out process, and ensure the front lounge remains clean and welcoming.

  • Smart Scheduling: Manage a high-volume appointment calendar—efficiently booking initial consultations, routine adjustments and cementing, emergency repairs, and debonding (braces off!) appointments.

  • Communication Hub: Answer phone calls, respond to text messages/emails, and proactively follow up with pending patients to schedule their treatment starts.

  • Patient Accounts & Intake: Guide new patients through digital intake forms, update electronic health records (EHR), collect co-pays, and accurately process daily payments.

  • Clinic Coordination: Work closely with our Treatment Coordinators and Orthodontic Assistants to ensure a seamless flow between the front desk and the clinic floor.

  • Will be working multiple locations. There are two locations in Las Vegas to which all staff are scheduled interchangeably.

Qualifications & Skills

  • Experience: 1–2 years of dental, orthodontic, medical front desk, or high-end hospitality/customer service experience is preferred (but we will fully train someone with exceptional energy and communication skills!).

  • Tech-Savvy: Comfortable navigating multi-line phone systems and specialized practice management software (experience with systems Cloud9 and Stripe is a major plus).

  • Multi-Tasking Pro: Ability to smoothly balance answering phones, checking in a patient, and maintaining a warm demeanor during busy peak hours.

  • Detail-Oriented: Highly organized when handling data entry, scheduling rules, and financial transactions.
