Job description

The Assistant Project Manager will provide administrative support to project management. They will attend project meetings and perform administrative tasks associated with change orders, shop drawing acquisition and review, contact with subcontractors, contract revisions, and material tracking.
Job Duties and Responsibilities:
For Awarded Projects:
o Work with estimating department on turnover process and documentation.
o Assign project numbers and move files form estimating to project management when project is awarded.
o Enter write-up, Schedule of Values.
o Major equipment purchase orders- issue letters of intent to include requesting lead times and submittal data.
o Subcontractors- issue letters of intent and request submittal data.
o Coordinate turnover meetings from estimating to operations.
โ€ข To Assist Project Management:
o Obtain and/or provide notice of commencements.
o File notice to owner.
o Certificates of insurance to general contractor.
o Bid bonds and Performance, Labor & Material Bonds.
o Process and execute necessary permits that are required for construction projects.
o Set up, organize, and maintain the construction project filing system on server.
o Red Forms for project managers.
o Assemble contract and subcontract routing process.
o Contract change orders and sub0change orders.
o Enter, update, create, and distribute submittals.
o Project tracking logs.
o Purchase orders and direct owner purchases.
o Close-out process.
Additional responsibilities:
o Request and maintain all COIs for all departments (Purchasing, Service, Construction, Estimating).
o License renewals.
o Print reports requested by project managers.
o File current inspection test reports and daily reports that are provided by superintendents.
o Field team folder on server for foreman access.
o Onboarding and training.
o Expense reports.
o Other duties as assigned.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This position is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
Work Environment:
This job operates in both an office and a field environment. Must be able to sit and/or stand for extended periods of time.
