Job description

The Whiting School of Engineering Graduate Admissions Office at Johns Hopkins University seeks a detail oriented temporary casual Graduate Admissions Assistant to support operations during the peak time for enrolling our admitted students. This position will primarily assist with transcript processing and applicant record management/communications related to transcripts within the Slate admissions platform.
Working closely with the Assistant Director of Graduate Admissions, the temporary assistant will help ensure timely processing of application materials, accurate record keeping, and clear communication with prospective students regarding the status of their documents. This role is essential to maintaining efficient application processing during the high-volume enrollment season. This position will interact with prospective students and applicants via email. Work will be performed remotely and require consistent digital communication, Zoom meetings, etc.
Provides basic office support for the Admissions team.
Specific Duties & Responsibilities
  • Open and sort mail.
  • Determine document types and ensure all physical mail is prepared for imaging.
  • Perform document imaging and resolve any related issues.
  • Verify records are accurate.
  • File all scanned materials.
  • Perform other duties as assigned.

In addition to the duties described above
  • Process and review official and unofficial transcripts submitted by graduate applicants.
  • Upload, verify, and update applicant materials within the Slate admissions system.
  • Monitor and update application records to ensure transcripts and other materials are properly documented.
  • Communicate with applicants via email regarding the receipt and status of transcripts and application materials.
  • Assist with data entry and record maintenance to ensure accurate admissions files.
  • Support the Assistant Director of Graduate Admissions with transcript management and other admissions-related tasks.
  • Help with general administrative tasks that support the Graduate Admissions team during the busy admissions cycle.
  • Maintain confidentiality of applicant records and adhere to university data privacy standards.
  • Communicate with academic programs regarding the status of their applicants' required documents.

Minimum Qualifications
  • High School Diploma or graduation equivalent required.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Related experience in an office or university setting.
  • Bachelor's Degree.
  • Strong organizational skills and attention to detail.
  • Excellent written and professional email communication.
  • Proficiency with standard office software (e.g., Microsoft Office, Outlook).
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Experience in higher education administration or admissions.
  • Familiarity with Slate or other admissions/application management systems.
  • Experience reviewing academic records or transcripts.
  • Customer service or applicant communications experience.
  • Ability to work both independently and collaboratively.
  • Comfort working with databases and document management systems
