Description
The Operations Assistant supports the day-to-day operations of the Golf Academy and The Hay by assisting with administrative tasks, coordinating internal processes and ensuring the smooth execution of operational activities. This role requires strong organizational skills, attention to detail and the ability to multitask in a fast-paced environment. More specifically, the Operations Assistant facilitates students, guests and visitors' experience at the Pebble Beach Golf Academy. They will also provide administrative support for the Golf Academy team and support the golf operations as needed. Answer questions regarding the Pebble Beach Golf Academy, golf, and general resort questions. Assist with lesson, club fitting, and facility scheduling in Outlook (instructors and all shared calendars) and SMS Resort Scheduling. Coordinate pre-arrival procedure for student lessons.

Essential Duties & Responsibilities:
  • Greet and accommodate students/guests/visitors upon arrival to the Golf Academy.
  • Assist the operations team with clerical and administrative tasks such as filing, data entry, and document management.
  • Prepare regular reports on operational activities, memberships and maintain accurate records.
  • Help ensure operational activities are in line with Pebble Beach Company policies.
  • Project a positive resort image, as well as its integrity.
  • Answer questions regarding the PBGA, golf, and general resort questions; relay messages to appropriate person.
  • Assist with lesson, club fittings, and facility scheduling into Outlook (instructor and all shared calendars) and SMS Resort Scheduling.
  • Contact students/guests for lesson confirmations.
  • Coordinate pre-arrival procedure for student lessons.
  • Create, maintain and update department file information, including contracts, correspondences, check lists, and reports.
  • Communicate pertinent information on groups or programs with Golf Academy team, Pro Shops, and other departments (i.e. Sales and Conference Services) through verbal and written correspondences.
  • Schedule, coordinate, and set up meetings.
  • Utilize POS for individual lessons, group program charges, and retail purchases
  • Comply with all Pebble Beach Company safety and health policies and procedures.
  • Assist with retail operations including Hay merchandising and custom club orders

Requirements:
  • Excellent organizational, time management and communication skills.
  • Strong problem-solving skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Aptitude to operate golf technology (equipment/software).
  • Ability to work independently and collaboratively as part of a team.
  • 2+ years administrative experience required.
  • Prior cash handling experience required.
  • High School diploma or equivalent required; associate or bachelor's degree preferred.

Desired Skills:
  • Previous experience in an administrative, operations or support role is a plus.
  • Golf knowledge: basic understanding of the game, equipment and common terms.
  • Customer service skills: friendly, helpful and professional when dealing with guests and students.
  • Tech skills: familiarity with golf simulators, launch monitors and club fitting.
  • Event planning support: helping organize junior camps, clinics and member events.
  • Sales ability: assisting with academy memberships and club sales.
  • Flexibility: willingness to work weekends, evenings or early mornings when events demand it.

  • SMS Host, SMS POS, and Delphi experience preferred.
