SUMMARYย 

The Fleet & Commercial Sales Manager is responsible for developing, growing, and managing all fleet and commercial business for the dealership from initial prospecting through final delivery and funding. This position serves as the single point of ownership for fleet operations, building long-term relationships with commercial customers, municipalities, government agencies, and business accounts while ensuring an exceptional ownership experience.ย 

ESSENTIAL DUTIESย 

Business Developmentย 

  • Develop new fleet and commercial business through outside sales, networking, referrals, and community involvement.ย ย 
  • Establish relationships with local businesses, municipalities, schools, contractors, utilities, emergency services, and government agencies.ย ย 
  • Maintain regular contact with existing fleet customers to increase repeat business and referrals.ย ย 
  • Identify opportunities for expanding commercial vehicle sales and upfit services.ย ย 
  • Represent the dealership at business networking events, trade organizations, and community functions.ย ย 
  • Maintain an active prospect list and consistently pursue new commercial and fleet opportunities through outside sales activities, referrals, networking, and strategic account development.ย 

Sales Managementย 

  • Serve as the dealership's primary point of contact for all fleet and commercial customers.ย ย 
  • Conduct needs assessments and recommend vehicle solutions that meet customer operational requirements.ย ย 
  • Prepare quotes, proposals, bid responses, and purchase agreements.ย ย 
  • Negotiate fleet transactions within dealership guidelines.ย ย 
  • Obtain required approvals from the General Sales Manager when appropriate.ย ย 
  • Maintain accurate CRM documentation for all commercial opportunities.ย ย 
  • Develop long-term account strategies designed to maximize customer retention and lifetime commercial business.ย 

Fleet Order Managementย 

  • Submit all vehicle orders through Ford fleet ordering systems.ย ย 
  • Monitor order status throughout production and shipping.ย ย 
  • Maintain proactive communication with customers regarding production schedules and delivery expectations.ย ย 
  • Coordinate vehicle upfits, accessories, graphics, and aftermarket installations as required.ย ย 
  • Maintain communication with Ford Pro, manufacturers, body companies, commercial upfit vendors, and suppliers to ensure timely delivery and customer satisfaction.ย ย 

Delivery Coordinationย 

  • Coordinate final delivery logistics.ย ย 
  • Complete all paperwork required for retail, commercial, municipal, and government transactions.ย ย 
  • Coordinate purchase orders, billing documentation, tax exemption paperwork, title documentation, and funding requirements.ย ย 
  • Ensure all vehicles are properly prepared prior to customer delivery.ย ย 
  • Conduct customer delivery orientations covering vehicle operation, warranty, maintenance scheduling, commercial equipment, and fleet features.ย 

Financial Administrationย 

  • Coordinate customer payments.ย ย 
  • Collect purchase orders and required documentation.ย ย 
  • Ensure complete deal jackets prior to accounting submission.ย ย 
  • Work with Accounting to resolve billing discrepancies.ย ย 
  • Monitor receivables and assist with collection efforts when necessary.ย ย 

Customer Relationship Managementย 

  • Conduct regular follow-up after delivery.ย ย 
  • Resolve customer concerns promptly.ย ย 
  • Maintain long-term fleet relationships.ย ย 
  • Identify future replacement cycles, expansion opportunities, and additional Fleet & Commercial needs.ย 
  • Maintain high customer satisfaction throughout the ownership experience.ย ย 

Administrative Responsibilitiesย 

  • Maintain accurate CRM records.ย ย 
  • Maintain fleet prospect lists.ย ย 
  • Track pipeline activity.ย ย 
  • Maintain bid calendars.ย ย 
  • Monitor fleet incentive programs.ย ย 
  • Stay current on Ford fleet programs, incentives, ordering constraints, and commercial products.ย 
  • Maintain organized records of municipal bids, commercial contracts, purchase agreements, and customer account documentation.ย 

Leadership Support & Operational Coverageย 

  • While maintaining primary responsibility for all Fleet & Commercial Operations, the Fleet & Commercial Sales Manager is expected to provide leadership support across dealership sales operations as business needs require and when directed by dealership leadership.ย 
  • Responsibilities may include, but are not limited to:ย 
  • Serving as a backup Sales Manager during vacations, absences, high-volume periods, or other operational needs.ย ย 
  • Assisting in the appraisal of customer trade-in vehicles utilizing dealership appraisal processes and current market data.ย ย 
  • Providing oversight, coaching, and leadership to the Sales Team during periods of management coverage, ensuring adherence to dealership sales processes, customer experience standards, and operational policies.ย ย 
  • Supporting deal structure discussions and transaction flow under the direction and approval of the General Sales Manager.ย ย 
  • Assisting with inventory management, merchandising, and lot operations to support overall dealership objectives.ย ย 
  • Collaborating with dealership leadership to ensure seamless daily operations across all sales functions.ย ย 
  • Performing other leadership-related responsibilities assigned by dealership leadership in support of dealership performance, customer satisfaction, and operational success.ย
