Job description

Position Summary: Under the general direction of the Fire Chief, the Administrative Assistant provides administrative assistance to the Fire Chief in carrying out the functions of the Tribal Fire Department.
Duties and Responsibilities:
  1. Provides administrative assistance to the Fire Chief and other department staff; maintains calendars, schedules appointments; screens telephone calls, responds personally to questions that do not require extensive technical knowledge.
  2. Perform routine office tasks, such as word processing, typing, filing, telephoning, ordering, coordinating travel arrangements and photocopying. Maintain program filing system.
  3. Maintains inventory, prepares purchase orders for supplies and equipment for use by the Tribal Fire Department.
  4. Assist with the development of the grants and requests for funding to federal, state and local agencies. Assist in conducting research and data collection from internal and external sources in support of fire projects and grants.
  5. Understand and follow limits and scope of grant funded activities.
  6. Assists the Fire Chief in the preparation of the annual budget; monitors expenditures and maintains necessary reports.
  7. Types various correspondence, documents, reports and meeting minutes; maintains control of incoming action documents, correspondence and follows up to ensure timely replies.
  8. Handles a wide variety of proprietary and confidential information relating to the Tribal Fire Department.
  9. Provide direct support for meetings, including making copies of agendas, taking and transcribing minutes.
  10. Willing to work when needed regardless of time of day or night in the event of an emergency to complete emergency related paper work or any other logistical matter related to the Fire department.
  11. Be willing and able to obtain additional training as needed.
  12. Perform other related duties as required.

Qualifications:
  1. High school diploma or GED certificate and one year of clerical experience preferred.
  2. Able to type 35 words per minute.
  3. Excellent verbal, written and organizational skills.
  4. Knowledge of proper office methods and practices including filing systems, receptionist and telephone techniques, letter and report writing, mathematical computations, office management techniques and procedures and public and human relations skills.
  5. Computer literate, specifically with Windows OS, with an emphasis on Word, Excel, internet and e-mail.
  6. Organized, self-motivated and able to perform tasks independently.
  7. Positively represent the Tribe in interaction with other agencies.
  8. Ability to maintain confidentiality and tactful relationships with Tribal members and other Rancheria residents, offices of emergency services, regulatory agencies, fellow employees and the general public.
  9. Ability to use good judgment in recognizing scope of authority.
  10. Ability to work cooperatively as part of a team.
  11. Must possess a valid California drivers' license and comply with the requirements of the Tribe's driving policy and insurance requirements.

Physical Requirements:
This position is deemed a level 2 and requires walking; standing; sitting for prolonged periods of time; climbing stairs; stooping; kneeling; crouching; reaching; pushing, pulling and lifting up to 30 pounds; raising objects overhead; manual dexterity for operation of computer, phones and small office machines; hearing; talking; good verbal and written communication skills; repetitive motion of the wrists, hands, and fingers.

Preference in filling vacancies shall be given first to qualified Tuolumne Me-Wuk Community Council Members and then to enrolled Native Americans of any federally recognized tribe.
