Human Resources Specialist


The HR Specialist provides day-to-day HR support across the employee lifecycle and contributes to the effective delivery of HR programs, processes, and services, in the USA and Canada. The position supports recruitment, onboarding and offboarding, employee records, payroll and time administration, immigration and work authorization, and other HR initiatives. Working collaboratively with the HRBP, employees, and managers, the HR Specialist helps ensure timely and consistent execution of HR processes, provides support on routine HR matters, and escalates complex or sensitive issues as appropriate. The role is responsible for maintaining accurate and confidential employee information, supporting compliance with company policies and applicable legislation, and contributing to HR projects and process improvements.


Position Functions


  • HR Administration & Documentation — Prepare and maintain HR documents, reports, employee records, and HR-related correspondence, ensuring information is accurate, complete, and up to date.
  • Recruitment & Talent Acquisition — Coordinate and support the full recruitment cycle, including preparing and posting job openings, conducting initial phone screenings, coordinating interviews with hiring managers, supporting candidate communications, and completing reference checks.
  • Performance & HR Programs — Support the timely execution of HR initiatives and programs, including performance reviews, merit increases, employee surveys, and other annual HR processes.
  • Employee Lifecycle Management — Coordinate and support employee lifecycle activities, including onboarding, offboarding, employee changes, transfers, promotions, and maintaining accurate employee information in HR systems.
  • Immigration & Work Authorization Support — Assist with the coordination and administration of employee immigration and work authorization files, including tracking document expiry dates, maintaining accurate records, coordinating required documentation with employees and external immigration counsel, and following up on applications, renewals, and status changes.
  • Payroll Support — Support payroll processing by entering and validating employee data, reviewing payroll-related information, coordinating with payroll providers, and following up on discrepancies or missing information.
  • Time & Attendance — Review employee time entries, identify discrepancies, coordinate corrections and approvals, and follow up with employees and managers to support accurate and timely payroll processing.
  • Expense Administration — Support the review, payment, and reconciliation of employee expenses in accordance with company policies and payroll processing requirements.
  • Employee & Manager Support — Respond to routine HR and payroll-related questions from employees and managers, provide guidance on established processes and policies, and escalate complex or sensitive matters to the HRBP as appropriate.
  • HR Compliance & Confidentiality — Maintain confidentiality of employee and company information and support compliance with internal policies, employment standards, payroll requirements, and other applicable legislation and regulations.
  • HR Systems & Data Management — Maintain accurate and timely employee data in HR and payroll systems and assist with data audits, reporting, and record updates as required.
  • Invoicing & Expense Administration — Assist with tracking, processing, coding, and organizing HR-, payroll-, and office-related invoices and expenses, including follow-up with internal stakeholders and vendors when required.
  • Records & File Management — Maintain organized electronic and physical HR filing systems and ensure employee documentation is properly stored, accessible, and retained in accordance with company requirements.
  • Administrative Support — Perform general HR administrative duties, including scheduling meetings and interviews, preparing documents, coordinating communications, data entry, and maintaining HR trackers and calendars.
  • HR Projects & Continuous Improvement — Participate in HR projects, process improvements, and ad hoc initiatives assigned by the HRBP, taking ownership of assigned tasks and following projects through to completion.
  • Other Duties — Perform other related HR duties and responsibilities as required to support the effective delivery of HR services across the organization.


Requirements & Experience

Post-secondary education in Human Resources, or a related field with a minimum of 2–3 years of relevant HR experience, preferably in a professional office environment.


Skills and Abilities:


  • Strong organizational and time-management skills with the ability to manage multiple priorities, with low supervision.
  • High level of discretion and professionalism when handling confidential information.
  • Excellent interpersonal and communication skills with a collaborative, service-oriented approach.
  • Strong English language skills, both written and oral; French language, an asset
  • Proficiency with Microsoft Office (Outlook, Excel, Word); experience with an ERP system is an asset.
  • Ability to maintain close alignment with HR leadership and business needs
  • Proactive, self-motivated and high attention to details
  • Versatility and strong willingness to learn and perform more than assigned tasks
  • Ability to work autonomous and complete tasks without constant supervision
  • Positive attitude and team player mentality
