Job description

Hyatt Regency Austin | Start Your Career Creating Experiences That Matter
Some people see a ballroom. You see what it could become.
Nestled along the shores of Lady Bird Lake in the heart of downtown Austin, Hyatt Regency Austin is where meetings become connections, celebrations become memories, and great ideas come to life. At Hyatt, our purpose is to care for people so they can be their best-and our Events team brings that purpose to life every day.
We're looking for an enthusiastic, organized, and people-focused Event Planning Coordinator who is eager to learn, build relationships, and grow a career in Events and Hospitality.
In this role, you'll support our Event Planning Managers while gaining hands-on experience planning and servicing your own groups and events. From creating banquet event orders and coordinating menus to working with clients, managing event details, and partnering with hotel teams, you'll play a key role in bringing memorable events to life.
If you enjoy staying organized, thrive in a fast-paced environment, and love helping create exceptional guest experiences, we'd love to meet you.
No two events are exactly alike-and no two days are either.
What You'll Do
Help Bring Events to Life
You'll help turn a client's vision into an experience. Assist Event Planning Managers with the planning and servicing of meetings and events. Plan and service assigned groups while developing your own event planning expertise. Coordinate menus, meeting agendas, room setups, audiovisual needs, special requests, and event timelines. Create and maintain detailed Banquet Event Orders and other event documentation.
Create Relationships, Not Just Reservations
Communicate with clients before, during, and after events, providing responsive, personalized service and anticipating needs. Build trusted relationships with guests and hotel teams alike.
Become a Master of the Details
Events are made memorable by the big moments-but they're made successful by the details.
You'll help manage everything from:
Food & Beverage • Meeting Room Setups • Audiovisual • Guest Room Blocks • VIP Needs • Billing • Timelines • Special Requests
You'll review contracts, monitor room block pickup, communicate billing instructions, and ensure event details are accurate and ready for execution.
Be Part of the Action
Planning is only half the fun. You'll also see those plans come to life. You'll collaborate with teams throughout the hotel-including Banquets, Culinary, Sales, Front Office, Housekeeping, Engineering, and Audiovisual-to make sure everyone is working from the same playbook. When events are underway, you'll help serve as an on-site resource for clients and our hotel teams, responding to needs, solving problems, and helping ensure everything runs seamlessly.
Together by Hyatt
Through our Together by Hyatt event philosophy, we strive to create experiences that leave our planners and guests feeling: More Cared For, More Efficient, More Impactful and More Intentional.
As an Event Planning Coordinator, you'll help bring that philosophy to life.
Who We're Looking For
We're looking for someone who is naturally curious, organized, energetic, and excited about hospitality. You may be a great fit if you:
  • Have a genuine desire to care for others and create memorable experiences.
  • Enjoy working in a fast-paced environment where priorities can change quickly.
  • Are highly organized and love the details.
  • Communicate confidently and professionally in person, by phone, and in writing.
  • Can manage multiple projects and deadlines while staying positive and composed.
  • Enjoy solving problems and finding creative solutions.
  • Are comfortable learning new technology and computer programs.
  • Believe the best results happen when teams communicate and work together.
  • Want to learn, take on new responsibilities, and grow your career in Events.

Why Hyatt Regency Austin?
Because this isn't just a job where you'll help plan events.
It's a place to build an Events career.
You'll learn alongside experienced hospitality professionals, gain exposure to the many moving pieces behind complex events, develop relationships across hotel departments, and have opportunities to take on greater responsibility as you grow.
You'll experience the satisfaction of walking into a room you helped plan and seeing it filled with people connecting, celebrating, learning, and creating memories.
And you'll do it with a team that believes how we care for one another is just as important as how we care for our guests.
Ready to Create Something Memorable?
If you're ready to learn, grow, solve problems, sweat the details, celebrate the wins, and help create experiences people remember, we'd love to meet you.
Join the Events team at Hyatt Regency Austin and start creating what's next.
