The Whale Harbor Group Restaurants is seeking a highly organized, detail-oriented, and dependable Bookkeeper Assistant / Data Entry Specialist to join our administrative team.

This position plays a vital role in supporting the accounting and operational functions of our growing hospitality company. We are looking for someone who is accurate, efficient, trustworthy, and thrives in a fast-paced environment.

As we continue to grow, we're looking for talented professionals who want to grow with us.

Responsibilities
  • Perform daily bookkeeping and accounting support.
  • Accurately enter invoices, receipts, and financial data into accounting software.
  • Assist with Accounts Payable and Accounts Receivable.
  • Reconcile vendor statements and credit card transactions.
  • Maintain organized electronic and paper filing systems.
  • Process inventory, purchasing, and expense documentation.
  • Prepare deposits and assist with daily financial reporting.
  • Enter and maintain employee records and payroll information.
  • Assist with month-end reporting and account reconciliations.
  • Maintain confidentiality of all financial and personnel information.
  • Support management with administrative and special projects.
Qualifications
  • Minimum 2 years of bookkeeping and/or data entry experience required.
  • Restaurant, hospitality, or retail accounting experience preferred.
  • Strong proficiency in Microsoft Excel, Word, Outlook, and QuickBooks (or similar accounting software).
  • Excellent 10-key and data entry skills with a high degree of accuracy.
  • Strong organizational and time management abilities.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Professional communication skills and a positive attitude.
  • Ability to work independently while contributing to a team environment.
Preferred Experience
  • Restaurant bookkeeping.
  • Payroll processing.
  • Invoice management.
  • Inventory and purchasing systems.
  • Toast POS or similar restaurant management software.
  • XtraCHEF, Restaurant365, or comparable accounting platforms.
