JOB DESCRIPTION
Position Title: Administrative Assistant / Data Entry & Social Media Assistant
Reports To: Karla Urbina
Position Summary
The Administrative Assistant / Data Entry & Social Media Assistant provides administrative and data-entry support to New Hope C.O.R.P.S. and assists the Development Director with the agency's social media activities.
The position is responsible for entering and maintaining accurate information in the Thriving Mind CARISK system and other agency databases, assisting with general administrative duties, maintaining organized records, and supporting the preparation and posting of agency-approved social media content.
The position requires strong attention to detail, organization, confidentiality, computer proficiency, and the ability to manage multiple responsibilities while maintaining accurate and timely documentation.
Essential Duties and Responsibilities
Data Entry and CARISK
  1. Enter required client, program, service, demographic, outcome, and other applicable information into the Thriving Mind CARISK system accurately and within required timeframes.
  2. Review information for completeness and accuracy before and after data entry.
  3. Update and correct information in CARISK as needed and as authorized.
  4. Assist with monitoring data-entry requirements and identifying missing, incomplete, or inconsistent information.
  5. Communicate with appropriate staff when additional information or clarification is needed to complete required entries.
  6. Assist with the preparation and maintenance of reports, spreadsheets, tracking logs, and other data as assigned.
  7. Follow agency, funder, and confidentiality requirements when accessing, entering, maintaining, or transmitting information.

Administrative Support
  1. Provide general administrative and clerical support to agency leadership and assigned departments.
  2. Assist with preparing correspondence, forms, spreadsheets, reports, meeting materials, and other documents.
  3. Organize, scan, copy, file, and maintain electronic and paper records as assigned.
  4. Assist with telephone calls, emails, scheduling, and other routine office responsibilities as needed.
  5. Maintain organized administrative records and assist with tracking deadlines and required documentation.
  6. Support preparation for audits, monitoring visits, accreditation surveys, and other administrative reviews as requested.
  7. Assist with special projects and other administrative duties as assigned.

Social Media and Development Support
  1. Assist the Development Director with preparing, scheduling, and posting agency-approved content on New Hope C.O.R.P.S.' social media platforms.
  2. Assist with developing posts highlighting agency programs, services, events, community activities, accomplishments, fundraising initiatives, and other approved information.
  3. Assist with gathering appropriate photographs, graphics, program information, and other materials for social media content.
  4. Help maintain a consistent and professional agency presence across social media platforms.
  5. Ensure that all social media content is reviewed and approved as required before publication.
  6. Protect the privacy and confidentiality of persons served and staff and ensure that photographs, names, stories, or other identifying information are not posted without appropriate authorization and consent.
  7. Assist the Development Director with other outreach, communications, fundraising, and community-awareness activities as assigned.

Confidentiality and Compliance
The employee must maintain strict confidentiality regarding persons served, employees, donors, and organizational information and comply with HIPAA, agency confidentiality policies, applicable funder requirements, and New Hope C.O.R.P.S. policies and procedures.
Access to CARISK and other information systems must be used only for authorized job-related purposes. Login credentials may not be shared, and confidential information may not be disclosed or posted on social media or other public platforms without proper authorization.
Knowledge, Skills, and Abilities
  • Strong organizational and time-management skills.

  • Ability to perform data entry accurately and efficiently.
  • Basic proficiency with computers, email, Microsoft Office, spreadsheets, and web-based information systems.

Minimum Qualifications
  • High school diploma or equivalent required.
  • Previous administrative, clerical, office, or data-entry experience preferred.
  • Experience with electronic databases or web-based data-entry systems preferred.
  • Experience with social media platforms and basic content creation preferred.
  • Ability and willingness to complete required agency training.
  • Must meet all applicable background screening and other employment requirements established by New Hope C.O.R.P.S. and its funding or regulatory agencies.
