Progesys est actuellement a la recherche d'un(e) Controleur(e) de Documents pour rejoindre notre equipe et assurer une gestion rigoureuse des documents pour le bon deroulement des projets.

Dans ce role, vous serez responsable de developper et de maintenir des processus de controle documentaire efficaces pour organiser, enregistrer et archiver les documents de projet. Vous aiderez l'equipe de projet dans l'examen et la validation des documents, garantissant leur exactitude pour la remise au maitre d'ouvrage, et vous mettrez en place un systeme electronique de classement et d'archivage pour faciliter l'acces aux documents par les equipes internes et externes, ainsi que par les partenaires. Vous veillerez a une organisation appropriee des documents en conformite avec les exigences d'audit et apporterez un soutien administratif complet a l'equipe de projet.

Responsabilites principales

  • Developper et maintenir des processus de controle des documents pour la gestion et l'enregistrement efficaces des documentations du Projet
  • Aider l'equipe de projet a examiner/accepter le controle et l'enregistrement des documents du projet
  • Assister l'equipe de projet dans la preparation et la mise en uvre des procedures et du systeme de controle de la documentation afin de s'assurer que tous les documents du projet sont complets et exacts pour la remise au maitre d'ouvrage
  • Developper un systeme de classement et d'archivage electronique et une bibliotheque technique pour faciliter l'emission, le stockage, la recuperation et la gestion des documents destines aux clients internes et externes, aux vendeurs ou a d'autres parties
  • Depositaire des documents qui doivent etre controles et conserves pour les besoins de l'audit/des exigences internes
  • Maintenir une organisation et un stockage appropries des documents et des informations.
  • Fournir un soutien administratif complet a l'equipe de projet

Exigences

  • Diplome en ingenierie ou d'autres qualifications liees au poste
  • Minimum 5 -10 ans d'experience pertinente dans un role similaire dans le controle des documents et la gestion des enregistrements dans les industries miniere, petroliere et gaziere, petrochimique.
  • Posseder une bonne connaissance des processus et des normes de controle et de gestion des documents et des normes ISO
  • Competences MS Office (Excel, Words et PowerPoint) exigees
  • Experience dans la configuration et la mise en uvre d'Aconex
  • Excellentes communications orales et ecrites et competences interpersonnelles
  • Responsable, capable de travailler sous pression, motive et capable de travailler en equipe.
  • Bilingue Anglais-Francais (Le bilinguisme est requis pour cette position puisque l'employe devra communiquer au quotidien avec des parties prenantes (clients et collegues) a l'exterieur du Quebec ne parlant pas le francais)
  • Connaissance d'Aconex consideree comme un atout.

Progesys is a recognized project management firm specializing in the seamless transition of projects from construction to operation. Based in Laval, Canada since 2002, Progesys has offices in the United States, the Middle East, Asia, and Latin America.

Progesys is currently seeking a Document Controller to join our team and ensure rigorous document management to support the successful delivery of projects.

In this role, you will be responsible for developing and maintaining effective document control processes to organize, record, and archive project documentation. You will assist the project team in reviewing and validating documents, ensuring accuracy for delivery to the client, and implement an electronic filing and archiving system to facilitate document access for internal and external teams as well as partners. You will ensure proper document organization in compliance with audit requirements and provide comprehensive administrative support to the project team.

Main Responsibilities:

  • Develop and maintain document control processes for the efficient management and recording of Project documentations.
  • Assist Project Team in review/accept the Project document control and registration
  • Assist Project Team in preparing and implementation documentation control procedures and system to ensure that all Project documentation is complete and accurate for hand-over to Owner
  • Develop electronic filing and archive system and technical library for easy to issuance, storage, retrieval, and management of documents to internal and external customers, vendors, or other parties.
  • Custodian for documents that must be controlled and kept for audit/internal requirements
  • Maintain proper organization and storage of documents and information
  • Provide full administration support to the Project Team

Requirements:

  • Diploma in Engineering or other related qualifications
  • Minimum 5 years of relevant experience in a similar role in Document control and record management in Mining, Oil & Gas, Petrochemical industries
  • Possess good knowledge in document control and management processes and standards and ISO standards
  • MS Office skills (Excel, Words and PowerPoint) required
  • Excellent oral and written communications and interpersonal skills.
  • Responsible, able to work under pressure, self- motivated and able to work as a part of a team.
  • Bilingual (English and French) (Bilingualism is required for this position as the employee will be communicating with non-French speaking stakeholders).
  • Knowledge of Aconex considered an asset.
