Job Title: MECS-NS Divisions Administrative Assistant

Reporting Relationship: Dean, School of STEM

Unit: IWU-Marion

Department: General Academic Support-IWU Marion, IN

Campus Location: Ott Hall of Sciences & Nursing, Marion, IN

Summary of Position:    The Administrative Assistant provides support to the two divisions within the School of STEM. The ideal candidate will be outgoing, approachable, highly organized, and detailed oriented.
The School of STEM has 27 full-time faculty members. The combined divisions offer majors in Chemistry, Biochemistry, Physics, Biology, Environmental Science, Pre-Health Care Sciences, Computer Science, Data Science, Mathematics, and Engineering. The School has a strong commitment to high quality, academically rigorous teaching, and an emphasis in undergraduate research.


Duties and Responsibilities

  • Provide administrative support through reception services in both Ott and Don Wood Halls. Remain current on university policy and procedures and attend university training sessions and meetings.
  • Support the work of the divisions by maintaining an inventory of office supplies, processing student worker applications, and maintaining divisional financial records. Support the division by performing other duties as assigned by the division chairs.
  • Assist in university events such as: commencement and related receptions, student visit days, Admitted Student Weekends, division meetings, Celebration of Scholarship, and other special events.
  • Facilitate an inviting atmosphere for campus guests.

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • High school diploma or equivalent; office/secretarial education or training at an equivalent of at least two (2) years of college (associate degree) or four (4) years of college (bachelors degree) preferred

Experience

  • Demonstrated ability to work effectively with a variety of faculty, staff, students, and individuals form the community
    Two (2) years minimum office management and/or administrative assistance experience; additional experience preferred

Required Skills

  • Ability to use a computer; proficiency in Microsoft Office Suite; and a willingness to learn new software (Smartsheet and other university programs)
  • Excellent verbal, written communication, and organizational skills
  • Display accuracy and attention to detail
  • Ability to work with minimal supervision
  • Ability to accomplish tasks in a busy environment with multiple interruptions
  • Customer service oriented
  • Ability to maintain confidentiality of student and faculty information
