Job description

Staff Accountant
Location: Western Hills Country Club
Position Type: Full-Time
Compensation: $30.00-$35.00 per hour, based on experience
Position Summary
Western Hills Country Club is seeking a detail-oriented, organized, and dependable Staff Accountant to oversee the Club's day-to-day accounting operations and financial reporting. This is a key leadership support position responsible for maintaining the financial integrity of the Club while working closely with the Board of Directors, Treasurer, and Club Manager.
The Staff Accountant will serve as the primary financial resource for the organization, ensuring accurate accounting records, timely reporting, payroll processing, tax compliance, and financial analysis. The ideal candidate is self-motivated, trustworthy, and capable of managing multiple priorities in a professional, member-focused environment.
Reporting Structure
  • Reports directly to the Board of Directors
  • Primary financial point of contact for the Club Treasurer
  • Maintains a dotted-line reporting relationship with the Club Manager for operational coordination

Primary Responsibilities
Daily Accounting Operations
  • Maintain the Club's general ledger and accounting records.
  • Process daily deposits and reconcile cash receipts.
  • Record and reconcile all financial transactions.
  • Monitor bank accounts and perform monthly bank reconciliations.
  • Prepare journal entries and adjusting entries as needed.
  • Ensure accuracy and completeness of financial records.

Member Billing & Accounts Receivable
  • Prepare and distribute monthly member statements.
  • Process member payments and maintain accurate account balances.
  • Research and resolve billing discrepancies.
  • Monitor delinquent accounts and assist with collections when necessary.

Accounts Payable
  • Process vendor invoices accurately and timely.
  • Prepare and issue payments to vendors.
  • Maintain vendor files and payment records.
  • Reconcile vendor statements.

Payroll Administration
  • Process payroll accurately and on schedule.
  • Maintain payroll records and employee earnings information.
  • Administer payroll deductions and benefits as applicable.
  • Ensure compliance with federal and state payroll regulations.

Taxes & Regulatory Compliance
  • Prepare and file payroll tax reports.
  • Assist with federal, state, and local tax filings.
  • Maintain compliance with applicable accounting and tax regulations.
  • Coordinate with outside auditors or tax professionals as needed.

Financial Reporting
  • Prepare monthly financial statements.
  • Generate budget-to-actual reports.
  • Assist in annual budget preparation.
  • Provide financial reports and analysis to the Treasurer and Board of Directors.
  • Support long-term financial planning through accurate reporting and forecasting.

Additional Responsibilities
  • Maintain fixed asset records.
  • Assist with annual audit preparation.
  • Maintain accounting policies and internal controls.
  • Support departmental managers with financial information.
  • Recommend process improvements to increase efficiency and accuracy.
  • Perform additional accounting and administrative duties as assigned.

Qualifications
Required
  • Associate's or Bachelor's degree in Accounting, Finance, or a related field (or equivalent experience).
  • Minimum of 3 years of accounting or bookkeeping experience.
  • Strong understanding of Generally Accepted Accounting Principles (GAAP).
  • Experience processing payroll and preparing financial statements.
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.

Preferred
  • Experience with country club, hospitality, nonprofit, or private club accounting.
  • Experience with accounting software such as QuickBooks or other financial management systems.
  • Knowledge of budgeting and financial forecasting.
