Job title: Church Administrator / Executive Assistant to Pastor.
Role: Responsible for the day-to-day operations  and facilities of the church.

Overall responsibilities:
  • Oversees all office operations and church  appointments.
  • Provides support and sustains good working relationships  with the congregation  and staff.

Job tasks.
Communication:
  • Works under direction of senior pastor.
  • Contacts pastor immediately in case of pastoral emergency and keeps pastor and lay leaders  aware of members’ emergencies,  illnesses, etc.
  • Communicates regularly with the pastor regarding their calendar and  current events and projects to implement smooth ministry support.
  • Creates materials for Sunday bulletins and special services manages and maintains the church calendar – both the public and  the pastor’s private schedule.
  • Responds to persons, phone calls, voice mail , email  and deliveries in a prompt and professional manner is responsible for the weekly email,  mail, Friday Update, church bulletins and Facebook presence.
  • Help maintain and contribute to the church website.
  • explore and  implement marketing strategies.

Facility Maintenance:
  • Maintains communication with vendors.

Administration:
  • Maintains church files and documentation for easy retrieval.
  • Maintains service and equipment contracts.
  • Coordinates with  program directors and board chairpersons regarding use of building and scheduling.
  • Coordinates computer network maintenance, file management and backup of information  /  coordination with IT professionals.
  • Opens and sorts mail.
  • Enters data  and aids in maintaining  the ICON Member Portal System.
  • Order inventory supplies.
  • Coordinates facility maintenance and repair.
  • Has an awareness  of preparedness protocols and ensures implementation.

Minimum Qualifications:
  • Associate degree in office administration or business from an accredited.
  • educational institution or comparable experience.
  • At least one year office management experience desirable.
  • Demonstrate proficiency in MS Office. (Word, Excel,  Powerpoint, Publisher, Outlook).
  • Knowledge of most recent Window and Apple applications.
  • Knowledge of desktop publishing and bulletin, flyer and brochure design.
  • Knowledge of Google services and tools.
  • Excellent verbal and written skills.
  • Willingness to constantly sharpen administrative skills.
  • Dependable attendance.
  • Have a servant’s heart; be compassionate to the needs of Pastor, congregation, other staff, and lay leaders.
  • Conduct all matters in keeping with the mission statement of the church.

Time and Compensation:
  • Monday through Friday, full time ( 40 hours ) with possible attendance needed at special events.
  • $48,000 - $50,000  /   commensurate  with experience.
