Athletic Administrative Assistant

Kingโ€™s Way Christian Schools is a private, Christian school serving students from 12 months through 12th grade. We partner with families to provide a Christ-centered education for the whole child, leading to life change in each student. Athletics is an important extension of that mission, providing opportunities for students to grow in character, teamwork, perseverance, and leadership while representing the school with excellence.

The Athletic Administrative Assistant serves as a key member of the athletic department, providing the administrative coordination and operational support that allows coaches, students, and families to experience a well-organized and mission-aligned athletic program. This role helps ensure that eligibility, scheduling, communication, events, equipment, purchasing, and day-to-day operations are executed accurately and efficiently throughout the year.

The ideal candidate is highly organized, detail-oriented, and enjoys serving others behind the scenes. In partnership with the Athletic Administrator, coaches, and school leadership, this position helps create an athletic program where students, families, and coaches are supported through excellent organization, responsive communication, and dependable administrative systems.

Primary Roles & Responsibilities
  • Coordinate athlete and coach eligibility, onboarding, and required documentation to ensure participation requirements are completed accurately and on time.
  • Support the planning and execution of athletic events by coordinating logistics, facilities, transportation, volunteers, and game-day operations.
  • Maintain accurate athletic schedules, rosters, calendars, records, and communication systems that provide reliable information for coaches, students, and families.
  • Coordinate athletic banquets, awards programs, recognition events, and special department functions that celebrate student-athletes and strengthen community.
  • Manage athletic equipment, uniforms, and inventory systems to ensure programs have the resources they need while maintaining accountability for department assets.
  • Support department purchasing by processing orders, tracking deliveries, coordinating with vendors, and maintaining accurate purchasing records.
  • Provide responsive administrative support to coaches, students, families, officials, and visitors while serving as a dependable point of contact for athletic operations.
  • Maintain organized department records, workflows, and administrative systems that promote operational excellence and support long-term program success.
  • Contribute to a welcoming, organized, and Christ-centered athletic experience that reflects the mission and values of King's Way Christian Schools.
Position Details

This is a part-time 20-hour / week, year-round, non-exempt position reporting to the Athletic Director/Athletic Administrator. The Athletic Administrative Assistant serves as a central operational support resource for the athletic department, helping ensure daily operations, eligibility processes, athletic events, communications, and administrative systems run smoothly throughout the year.

While much of the work is performed during regular business hours, the rhythm of the role follows the athletic calendar. Occasional evening and weekend work is required to support competitions, tournaments, awards events, and other department activities.

The anticipated range for this position is $20.36 - 24.45 / hour, with final compensation based on internal equity, experience, skills, and education.

Additional Details:

  • Travel: Limited local travel may occasionally be required for athletic events, meetings, or operational support.
  • Work Environment: Primarily campus-based with work performed in an office environment, gymnasiums, athletic facilities, fields, and event venues throughout campus. The role regularly interacts with students, coaches, families, officials, and school staff. Prolonged periods of computer work, and sitting or standing required.
  • Physical Requirements: Ability to sit or stand for extended periods; move throughout campus and athletic facilities; lift, carry, organize, and assist with athletic equipment, event materials, and supplies (up to approximately 40 pounds).
  • Telework: Limited telework flexibility may be available based on operational needs; however, most responsibilities require an on-campus presence to effectively support athletic programs and events.

Required Qualifications

  • Associate's degree or equivalent professional experience in office administration, business administration, athletics administration, education, or a related field.
  • Two or more years of administrative, customer service, office coordination, event coordination, or related professional experience.
  • Strong organizational skills with demonstrated ability to manage multiple priorities, deadlines, and detailed administrative processes simultaneously.
  • Excellent written and verbal communication skills with the ability to interact professionally with students, families, coaches, officials, vendors, and staff.
  • Strong attention to detail and ability to maintain accurate records, schedules, and confidential information.
  • Proficiency with Google Workspace, databases, and other administrative and athletic software systems.
  • Ability to work collaboratively in a fast-paced, team-oriented environment while maintaining flexibility during busy athletic seasons.
  • Commitment to the mission, values, and faith-based educational philosophy of King's Way Christian Schools.
Preferred Qualifications
  • Previous experience supporting a school athletic department, educational organization, or youth athletics program.
  • Experience coordinating events, scheduling, purchasing, inventory, or administrative operations. (Software: PCO, Ramp, Final Forms)
  • Familiarity with athletic management platforms, registration systems, scheduling software, or school information systems. (Software: Alma, Final Forms)
  • Knowledge of WIAA eligibility processes or school athletic operations.
  • CPR/First Aid certification or willingness to obtain certification.
