Job description

Job Title: Genetic Counselor Coordinator

Location: Melchiorre Cancer Center

Pay Range: $50,000.00 - $60,000.00 per year

Job Overview:
The Genetic Counselor Coordinator is responsible for patient intake, scheduling and providing information about the program to patients, their loved ones and staff. The Coordinator will maintain the patient schedule for all Northern Region Genetic Counselors, which includes Melchiorre Cancer Center, Ambulatory Care Center (ACC), Clara Maass Medical Center (CMMC), Newark Beth Israel Medical Center (NBIMC), Jersey City Medical Center (JCMC) and Trinitas Regional Medical Center (TRMC).

Qualifications:
Required:

  • Bachelor’s degree in Business Administration, Social Science, Liberal Arts or a related discipline
  • Three years of related experience in office management and must have scheduling experience
  • Must be dependable, flexible and people oriented
  • Must have excellent oral and written communication skills and a highly professional demeanor in person and on the telephone
  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint
  • Must be proficient with navigating multiple EMRs, specifically EPIC

Preferred:

  • Knowledge of Medical Terminology

Essential Functions:

  • Responsible for providing administration, analytical, computing and staff support for the Oncology Genetic Counselors in the Northern Region
  • Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, database maintenance, and ability to use the variety of software packages
  • Manages communication and scheduling for Genetic Counselors at Melchiorre Cancer Center, Ambulatory Care Center, Newark Beth Israel, Clara Maass Medical Center, Jersey City Medical Center and Trinitas Regional Medical Center
  • Maintains Genetic Counselors Patient Log for each site
  • Screens calls and provides information in accordance with departmental policy,
  • Receives and handles incoming correspondence, schedules appointments, and responds to inquiries
  • Explain to patients the genetic counseling and testing process
  • Requires a basic understanding of and needs to be able to explain to patients the genetic counseling and testing process
  • Needs to have a basic understanding of genetic test results to be able to triage patients appropriately
  • Needs to be able to identify patients who need urgent appointments based on their recommended treatment plan
  • Assists in the coordination of obtaining genetic test specimens such as skin punch biopsy, blood and saliva samples
  • Completes Genetic Counseling Intake and Registration as required
  • Enters all necessary patient demographic, insurance and scheduling information into EPIC system
  • Verifies patient insurance information, identify if authorization is required, follow due process
  • Work closely with Genetic Counselors and EPIC team to learn new applications and troubleshoot problems
  • Stay current with all mandatory training sessions for EPIC, billing, and hospital required Net learning sessions
  • Mail/Email the Genetic Counselor packet to new patients
  • Gather/follow-up on the medical and family history forms
  • File to appropriate section of EPIC chart
  • Places reminder phone calls to patients regarding turning in completed packet prior to the patient appointment
  • Schedules follow-up appointments as needed
  • Maintain a list of labs approved insurances
  • Work collaboratively with the Genetic Counselor’s, appropriate hospital personnel, and laboratory staff to ensure that services are coordinated and delivered to patients in a timely manner
  • Works collaboratively with similar positions in the central and southern regions to meet patient needs across the system
  • This will create a scheduling team for the genetic counselors across the System Oncology Service Line who can cross cover for each other to ensure continuity and timely care
