Reports to Chief of Arts, Events, and Entertainment

A highly organized and motivated Administrative Assistant position, this multi-faceted role supports the Chief of Arts, Events, and Entertainment and plays a critical part in promoting and marketing our events and entertainment venues: The STAR Centre and the Havre de Grace Opera House. The ideal candidate is a proactive problem-solver with a strong ability to manage diverse responsibilities, from administrative support to marketing & development and on-site event assistance.

Key Responsibilities

  • Administrative & Development:
    • Provide comprehensive administrative support to the Chief of Arts, Events, and Entertainment.
    • Help cultivate and maintain corporate and community sponsorships.
    • Research and assist in the application for relevant grants to support programming.
    • Process and organize event vendor logistics.
    • Collaborate with and support staff across all areas of STAR Summer Camps as needed.
    • Manage and update event ticketing on platform (Etix).
    • Generate quarterly demographic reports from Etix.
    • Update ticket counts for concert promoters.
    • Maintain up-to-date marketing materials and the appearance of both venues’ lobbies and public areas.
    • Maintain oversight of the auxiliary gym as it applies to pickleball, i.e. cleanliness, general maintenance, closures, signage, and daily lock-up.

  • Marketing & Development:
    • Develop and manage digital content across all social media platforms, e.g. The STAR Centre, Opera House, and the Explore Havre de Grace Facebook pages, Instagram, Tik Tok, Linktree, etc.
    • Serve as primary contact with Etix to coordinate all marketing initiatives and campaigns.
    • Develop and execute comprehensive content plans for email campaigns and video platforms (YouTube, streaming services, movie theater ads, etc.) including ideation for video concepts and content calendars.
    • Design and create a wide range of marketing assets including original graphics, event logos, billboard design, and other visual collateral from concept to completion.
    • Contribute to video production workflows, assisting with videography, editing, and post-production for promotional materials and campaigns.
    • Capture and edit high-quality photography for use across all digital and print marketing channels to include posters, flyers, digital ads, printed programs and billboards.
    • Maintain and update marketing calendars with local and regional tourism sites like Explore Havre de Grace, Visit Harford, and Visit Maryland.
    • Conduct in-depth market research to identify emerging content trends, optimize hashtag strategies, and inform geofocusing for paid advertisements.
    • Serve as a key point of contact for interpreting and implementing marketing specifications and promotional requirements detailed in artists' riders, and secure stakeholder approval.
    • Analyze content performance and audience engagement to refine future marketing strategies and improve campaign effectiveness.
    • Represent the organization in on-air promotional interviews to highlight upcoming events.
    • Lead community outreach initiatives for marketing and promotions.

  • On-Site Event Assistance:
    • Assist with the hands-on aspects of event production to include event set-up and breakdown for all city-produced events & performances in both venues as well as outdoor festivals.
    • Provide administrative support leading up to performances and events.
    • Ensure an excellent experience for all patrons and provide leadership in emergency situations.

QUALIFICATIONS

  • Proven Skills:
    • Experience with a variety of software, including database management, Microsoft Office Suite (Word, Excel, Access), and marketing tools such as Canva Pro, Constant Contact, Eventbrite, and Meta Business.
    • Exceptional organizational skills and the ability to manage multiple tasks and deadlines simultaneously.
    • Excellent verbal and written communication skills with a strong knack for problem-solving and a proactive attitude.
    • Strong time-management skills with the ability to work independently and as part of a team.
    • Working knowledge and skills in videography and photography composition.
    • Experience with graphic design and photography/videography content creation tools such as Adobe Lightroom, Adobe Photoshop, CapCut Pro, and Final Cut Pro a plus.
    • Operating and maintaining a range of professional equipment including cinema cameras, DSLR and mirrorless cameras, gimbals, and audio tools.
  • Personal Attributes:
    • Ability to thrive in a high-pressure, fast-paced environment.
    • Excellent communication skills with the ability to work cooperatively with the public, management, and performers.
    • A proactive and flexible mindset, with the willingness to adapt to changing priorities.
