Schedule: 20 hours per week

Reports to: Lead Pastor

JOB SUMMARY

The Lead Pastor's Assistant (Administrative Assistant) serves as a strategic partner to the Lead Pastor, ensuring clarity, alignment, and execution across key priorities. This role manages communication, scheduling, and project flow while proactively removing friction and increasing organizational effectiveness.

RESPONSIBILITIES

Calendar & Time Management

  • Own and optimize the Lead Pastor's calendar
  • Prioritize appointments based on mission and impact
  • Ensure appropriate preparation and recovery time
  • Protect time for sermon preparation and strategic work

Communication Management

  • Triage email, messages, and incoming requests
  • Draft responses on behalf of the Lead Pastor
  • Filter and escalate critical communication
  • Track key conversations and follow-ups

Meeting & Workflow Management

  • Prepare agendas and supporting materials
  • Take notes and track action items
  • Ensure accountability and follow-through
  • Maintain leadership meeting rhythms

Project & Initiative Tracking

  • Track ministry priorities and strategic initiatives
  • Maintain dashboards or tracking systems
  • Follow up with staff on progress
  • Identify bottlenecks and proactively resolve them

Personal & Logistical Support

  • Assist with travel planning and scheduling
  • Manage select personal logistics as appropriate
  • Reduce administrative burden on the Lead Pastor
EDUCATION REQUIREMENTS

High School Diploma or GED

KNOWLEDGE REQUIREMENTS
  • Proficiency in Microsoft Office
  • Understanding of church/ministry operations
  • Familiarity with leadership support functions
  • Knowledge of project and workflow management principles
  • Familiarity or interest in AI tools
PREFERRED WORK EXPERIENCE
  • Experience supporting a senior leader or executive preferred
  • Experience in administrative, operations, or project coordination
  • Experience in a church or nonprofit environment is a plus
