The University of South Alabama's department of Real Estate Services and Asset Management is seeking to hire an Administrative Assistant. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
  • Provides secretarial, clerical and administrative support for the Office of Real Estate Services and Asset Management under the direction of the Executive Director, along with minor support for the Chief Economic Development Officer and Office of Commercialization and Industry Collaboration.
  • Interprets rules, regulations and policies while supporting the units of the division in planning, initiating, and carrying to completion moderately complex duties.
  • Makes travel arrangements, schedules appointments, and assists in maintaining multiple personal and scheduled room use calendars.
  • Prepares travel requests and travel reimbursements, correspondence, reports, requisitions, purchase orders, fund/revenue transfers, and direct pays which requires proficient use of Adobe, Microsoft Office (Word, Excel, PowerPoint), Google Workspace, Concur, and Banner Finance Systems and/or designated accounting Program(s) as directed.
  • Coordinates meetings, workshops, conferences, and other events.
  • Serves as recording secretary at select meetings including scheduling, distribution of official meeting minutes, and catering coordination.
  • Researches, creates and/or edits complex reports and documents.
  • Reviews and edits documents for accuracy and completeness, and compliance with University guidelines.
  • Receives and distributes incoming mail, phone calls, department inquiries and visitors.
  • Communicates frequently with other directors, departmental chairs, faculty, administrators, non-University personnel, etc.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and additional hours as required.
  • Related duties as required.
