Job description

Position Summary

We are seeking a highly dependable, career-focused LA-based Executive Personal Assistant to support a Producer & CEO who runs an independent music label and publishing company. This role is primarily centered on personal, household, and life logistics, with additional administrative and scheduling responsibilities related to the label.


This position is best suited for someone with prior experience in personal assistance, family management, household operations, or similar support roles. The ideal candidate is comfortable operating with a high level of autonomy, discretion, and trust, and takes pride in making day-to-day life run smoothly behind the scenes.


The position is full-time, in office and remote as needed and reports to the CEO. The role involves frequent driving across Los Angeles to manage errands, appointments, and household-related tasks; a valid driver’s license and reliable vehicle are required.


Applicants seeking an entry point into the music business or artist management should not apply.


Specific Responsibilities

Personal Support

  • Manage and coordinate personal calendars, appointments, and commitments
  • Troubleshoot and resolve issues independently, escalating only when necessary
  • Handle routine personal tasks such as ordering meals/lunch, managing deliveries, coordinating pickups, and processing returns (online and in-store)
  • Run occasional errands and manage time-sensitive personal requests to support the executive’s daily workflow
  • Maintain access to the executive’s residence to oversee logistics and resolve issues
  • Serve as the primary point person for household needs, including coordinating contractors and service providers (repairs, maintenance, landscaping, etc.)
  • Oversee scheduling and logistics for a household with children, including:
  • School and activity-related registrations
  • Camps, after-school programs, and appointments
  • Plan and book both personal and business travel, including flights and hotels, and manage changes, rebookings, and time-sensitive adjustments as needed


Administrative & Label Support

  • Own the executive’s professional calendar, prioritizing meetings, and preparing context/materials ahead of calls and sessions
  • Manage communications, triaging emails and messages, flagging priorities
  • Coordinate administrative workflows, including invoices, expense tracking, document organization, and internal follow-ups
  • Schedule and prepare for meetings, track action items, and ensure timely completion of key tasks
  • Coordinate and collaborate with colleagues at the executive’s business entities, as well as with his outside consultants and business managers.
  • Communicate across to relevant parties on the executive’s behalf.


Qualifications

  • 3+ years of experience as a Personal Assistant, Executive Assistant, Family Manager, or similar support role
  • Ability to discern when expenses are personal versus business and to which entity, and to allocate and record them accordingly
  • Proven ability to operate with discretion and handle confidential information
  • Highly organized, proactive, and detail-oriented
  • Comfortable managing multiple priorities and making independent decisions
  • Strong communication skills and professional presence
  • Tech-savvy with calendars, email, and basic administrative tools; Google Workspace fluency a plus
  • Resourceful, calm under pressure, and solutions-oriented
  • Comfort interacting with children; however, this is not a childcare role.

Compensation

Competitive salary, incentive and benefits will be offered, commensurate with the role and the final hire’s experience. Depending on the job-relevant knowledge, skills, abilities, experience, education, network and location of the final hire, the base salary is anticipated at an annual rate in the range of $80K to $100K. There is an attractive and comprehensive benefits package including medical, dental, vision, 401K, mental health fund, and competitive paid leave for childbirth or bonding and flexible PTO.
