Real Estate Operations Manager

Griffin and Partners - Keller Williams Lakeside

Shelby Township, MI

$75K/yr

Full-time

Medical, PTO

Posted 14 days ago

Job description

The Real Estate Operations Manager will serve as the day-to-day operational anchor for Griffin and Partners - Keller Williams Lakeside. This person will oversee transaction timelines, coordinate team workflows, improve systems, and make sure important responsibilities continue moving without depending on the Team Lead to remember or personally manage every detail.

The right candidate will be comfortable working hands-on while also thinking strategically. Initially, they will learn the team’s current transaction, listing, communication, and administrative processes. From there, they will help define responsibilities, lead daily operational meetings, improve accountability, document procedures, and support the implementation of new AI-powered workflows.

This is an excellent opportunity for someone who enjoys creating structure, taking ownership, solving problems, and helping a growing business operate more effectively.

Position Details

Employment: Full-time, W-2
Compensation: Starting around $65,000 annually, plus a performance-based bonus opportunity. Final compensation will be based on experience and qualifications.
Schedule: Monday through Friday, with no routine weekend work intended
Location: In-office, Shelby Township, Michigan
Benefits: Group health plan available for employee buy-in, anticipated three weeks of vacation, paid sick leave, and professional growth opportunities
Reports to: CEO and Lead Agent, Chris Griffin

The Right Person for This Role

You may be a strong fit if you naturally notice what is missing, take responsibility for closing the gap, and do not wait for someone else to tell you every next step. You are comfortable being the person who knows where each transaction stands, what needs to happen next, and who is responsible for making it happen.

You can work with a fast-moving, visionary leader while bringing structure to ideas and conversations. You are willing to respectfully raise concerns, but your first instinct is to find a practical path forward. You enjoy helping people, but you are also capable of setting boundaries, addressing difficult situations, and creating accountability.

Most importantly, you want to become an important part of a team, not simply complete a list of tasks. This role offers the opportunity to influence how the business operates, help build scalable systems, and grow into broader operational leadership as Griffin and Partners - Keller Williams Lakeside continues to develop.

The team is now seeking an experienced operational leader who can bring organization, visibility, and accountability to a fast-moving real estate business.

Compensation:

$65,000 - $75,000 yearly

Responsibilities:
  • Oversee active real estate transactions, including contractual deadlines, contingencies, inspections, financing milestones, title requirements, extensions, and closing preparation.

  • Lead organized daily meetings that provide the team with clear transaction updates, priorities, risks, responsibilities, and next steps.

  • Proactively communicate with lenders, title companies, inspectors, appraisers, contractors, cooperating agents, vendors, and other transaction partners.

  • Create clear operational lanes, coordinate team workflows, document assignments, and follow up to ensure responsibilities are completed on time.

  • Review and improve existing systems, checklists, CRM processes, reporting tools, and standard operating procedures.

  • Work with the leadership team to test and implement AI-supported workflows that reduce duplicate work while protecting accuracy and client service.

  • Protect the Team Lead’s time by resolving routine operational issues, keeping him focused on priorities, and presenting concise updates with recommended solutions.

Qualifications:
  • Strong real estate operations, transaction coordination, project management, or comparable deadline-driven experience.

  • Exceptional organization, attention to detail, time management, and follow-through across multiple active priorities.

  • Confident and professional communication skills, including the willingness to make calls and pursue answers rather than relying only on email.

  • Ability to take charge, hold others accountable, and lead workflows without becoming controlling, combative, or dismissive.

  • Strong problem-solving skills and the ability to identify risks, recommend solutions, and act proactively.

  • Comfort learning and using technology, including CRMs, electronic-signature tools, transaction platforms, shared calendars, and AI-supported systems.

  • Ability to remain calm under pressure, adapt to changing priorities, and work collaboratively with a relationship-focused team.
