About the Role

The Training Program Coordinator assists the Training Program Manager from initial inquiry through program delivery and invoicing. The role will include assisting in inventory, materials shipping, invoicing, and customer service. The position requires strong communication skills, attention to detail, and a high level of organization.

What You'll Do

Program Management

  • Serve as the secondary point of contact for customers seeking training solutions
  • Assist the Training Program Manager in the full lifecycle of training engagements, including proposals, scheduling, delivery coordination, and invoicing
  • Assist the Program Manager in responding to proposals and RFPs
  • Assist in the management of open enrollment training programs, including contract development and site logistics
  • Assist with self-certification and recertification programs, including eligibility verification, content coordination, and completion tracking
  • Seek feedback from customers

Customer Experience & Support

  • Provide ongoing support and communication to customers throughout the training process
  • Assist in addressing inquiries related to programs, scheduling, materials, and certification
  • Facilitate payment collection, including invoicing and credit card processing
  • Follow up on past-due invoices in collaboration with Accounting
  • Ensure timely delivery of certificates and training materials upon completion and payment verification

Training Operations & Administration

  • Assist in scheduling training classes and coordinating logistics with instructors and clients
  • Prepare, print, and distribute class materials and documentation
  • Maintain accurate and comprehensive training records
  • Enter class data, certification details, and invoicing information into internal systems
  • Assist in submitting requests for CEUs to external organizations (e.g., ISA, TICA)
  • Assist in managing document storage systems for efficient retrieval and compliance

Inventory & Logistics Management

  • Maintain inventory of training manuals and materials
  • Pack and ship materials for classes and customer orders
  • Fulfill e-commerce orders and internal company requests
  • Monitor inventory levels and coordinate replenishment orders
  • Perform physical tasks including lifting and moving materials (15-30 lbs regularly)

Sales & Cross-Functional Collaboration

  • Assist in coordinating Arborist Training participation in trade shows and conferences
  • Maintain and assist in managing the online Arborist Training store and promotion codes
  • Assist in collaborating with Accounting, Operations, and other departments to ensure smooth workflows

Certification & Credentialing Management

  • Generate and distribute student certificates upon successful course completion
  • Ensure certification eligibility tracking and documentation
  • Administer recertification processes, including documentation review and trainer feedback

Must haves:

  • High school diploma or GED required
  • Two (2) years of administrative, customer service, coordination, training support, or related experience
  • Experience using Microsoft Office applications and database systems
  • Strong organizational, communication, and time management skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Valid driver's license

Nice to haves:
