DESCRIPTION The Production Manager serves a critical role in the planning and execution of SYC performances and events. A core member of the SYC team, serving over 200 young choristers ages 7-18, they are responsible for all logistical aspects of Strathmore Youth Chorus events. In collaboration with SYC's artistic and administrative staff the Production Manager is the lead on all operational matters related to performances and events, both at Strathmore and off-site.

Evening and weekend hours are required. ESSENTIAL DUTIES AND RESPONSIBILITIES May include, but are not limited to, the following: Production- 60% In collaboration with the SYC team, execute advance planning and preparation for both in-house and outside events including performances, rehearsals, parent orientation, end-of-year banquet, retreat, and others. Reserve space for auditions, rehearsals, and performances on and off Strathmore's campus that meet the needs of ensemble directors.

Work alongside Strathmore Hall's production crew to stage manage Concert Hall performances, rehearsals, and other events. In coordination with the Artistic Team, liaise with performance partners, guest artists and Strathmore production crew. Complete paperwork for guest artists and performance partners, including artist agreements, check requests, and logistical communication.

Manage all off-site production logistics including transportation, meals, parent and student communication, contracts, etc. Book concert recordings with videographer/photographer and approve final products with support from Strathmore's Communications Manager. Work closely with Administration & Singer Services Manager to delegate parent volunteer duties for rehearsals, concerts, and other events.

Support SYC socials and other special events. In conjunction with the Marketing and Communications department, coordinate the design and publication of concert programs. Singing Ambassadors - 20% In collaboration with the SYC Artistic Director, manage SYC's Singing Ambassadors program.

Through a competitive application and interview process, the program empowers selected high school choristers with expanded responsibilities and opportunities to mentor their peers and contribute to the program's development and direction. Other Operations - 20% Collaborate with and support Administration & Singer Services Manager regarding all aspects of SYC's auditions. Work with SYC Artistic Director to support music ordering for all ensembles.

Attend ensemble rehearsals weekly on Tuesdays and occasionally on Mondays. As of July 2026, SYC's weekly rehearsal schedule is as follows: Mondays, Tenor Bass Chorus, 5:30 to 7:00 p.m., Concert Chorus 6:45 to 8:15 p.m., Chamber Ensemble 8:20 to 8:55 p.m.; Tuesdays, Preparatory Chorus 5:20 to 6:20 p.m., Treble Chorus 6:30 to 8:00 p.m., Apprentice Chorus 6:45 to 7:45 p.m. SYC's rehearsal schedule is subject to change based on enrollment and availability

Attendance is particularly important at the beginning and end of each concert cycle. Support SYC team and its volunteers to distribute binders and music to all choristers and artistic staff. Coordinate all logistics for tours, festivals, retreats, exchanges, and off-site performances, including transportation, lodging, meals, scheduling, and venue needs.

Serve as the primary point of contact with host organizations, presenters, tour operators, venues, and participating families. Prepare and distribute itineraries to singers, families, staff, and chaperones. Collect and maintain permission forms, emergency contact information, medical documentation, and other required travel records.

Coordinate staffing, volunteer, and chaperone assignments and provide on-site supervision and logistical support during events. Monitor travel budgets and expenses and perform contract administration and vendor payments. Lead on-site event operations, troubleshoot issues in real time, and ensure a safe, positive, and well-organized experience for all participants.

Support the identification and development of local, national, and international performance opportunities that advance the artistic and educational goals of the organization. Manage choral retreats that occur one Saturday each semester for every ensemble, including booking spaces, creating schedules with Artistic Staff, and being on-site throughout the day. Attend monthly Saturday morning SYC staff meetings on Zoom .
