We’re looking for a smart, motivated, and experienced group administrative assistant to support our growing Apple Ads team. The ideal candidate is a natural facilitator and problem solver; someone who leads with service and ensures that the workplace environment represents and protects our culture. They will be professional, resourceful, efficient, flexible, and will thrive in a fast-paced environment. The successful candidate will be a collaborative team member who takes initiative and operates with a friendly work style. Must be exceptionally well-organized and able to effectively multitask and prioritize work.
Description
In this role, you will provide administrative support for a large team of 300+. Responsibilities include: Assisting with onboarding to ensure a smooth start for new hires. Includes ordering and deploying equipment, securing desk space, and communicating with managers. Meeting, event, and offsite planning. Includes scheduling, managing agendas, and coordinating logistics such as meeting location, video conference dial in information, and catering. Travel arrangements and expense reports. Supports all facilities activities for the team including office moves and floor assessments. Communicates site-related information to local teams. Ordering and maintaining supplies. Conference room management. Managing secure access requests. Coordination of monthly onsite events and team activities. You’ll also work closely with our global administrative support team sharing best practices and recommending changes to ongoing processes in order to improve organizational efficiency.
Preferred Qualifications
Responsive and able to handle multiple task concurrently while working in a fast-paced environment.
Organized but flexible with the ability to anticipate change and react efficiently and quickly.
Resourceful and innovative in ambiguous situations.
Excellent written and verbal skills with a strong sense of professionalism.
High level of integrity; ability to handle confidential and sensitive information with discretion.
Experience organizing events is preferred.
Minimum Qualifications
Minimum of 4-6 years experience supporting a large team in an administrative capacity.
Able to communicate effectively with senior executives, other admin support team members, and employees across the team and across geographies.
Proficient in Apple products and programs such as Mail, Calendar, Pages, Numbers and Keynote.
