The Role:
Weโ€™re seeking an experienced Veterinary Customer Service Representative who thrives in a detail-oriented, relationship-driven environment.
Youโ€™ll be the organizational hub of the practiceโ€”guiding clients through rehab plans, ensuring seamless communication, and supporting both patients and team members with calm efficiency. This role is ideal for someone who enjoys both front desk work and behind-the-scenes organization, with opportunities to take ownership of key administrative systems.
What Youโ€™ll Do:
  • Provide a warm, Fear-Freeโ€“focused experience from check-in through checkout.
  • Manage phones, email, and text communication with professionalism and empathy.
  • Schedule and coordinate multi-visit rehabilitation treatment plans.
  • Educate clients on therapy plans, home care, and visit expectations.
  • Coordinate records with referring veterinarians (histories, imaging, updates).
  • Prepare estimates, process payments, and maintain accurate records.
  • Support a smooth, organized workflow during busy periods.
  • Help facilitate marketing outreach to referring veterinary practices.
  • Coordinate and track our referral incentive program.
  • Maintain and update internal procedure manuals to keep workflows clear and current.
  • Organize and optimize Google Drive systems so the team can easily access what they need.

What Weโ€™re Looking For:
  • Experience in veterinary medicine (CSR, assistant, or technician).
  • Strong communication skills and professional phone etiquette.
