Founded in 2015 in Bend, Oregon, Adventure Medics is a private EMS company providing emergency and critical care ambulance transport, event medical services, wildland fire medical and rescue support, industrial medical standby, and EMS training across Oregon, Washington, and Arizona. Behind our field teams is a small, close-knit operations and admin staff that keeps everything running - from fleet logistics and financial management to HR, compliance, and scheduling. We're looking for people who take pride in the behind-the-scenes work that makes frontline care possible.
Ambulance Transport Operations Manager
ROLE AND RESPONSIBILITIES
  • Direct daily IFT operations in Oregon including ALS, BLS, CCT, and discharge services
  • Monitor timekeeping for accuracy and submit for payroll
  • Monitor daily transport volume, unit utilization, and SLA compliance
  • Coordinate with third-party dispatch to ensure efficient call handling and response
  • Oversee configuration and maintenance of operational systems including ImageTrend Elite, Kiteworks, Fleetio, and NinthBrain Suite
  • Develop and edit standard operating guidelines
  • Coordinate with supply & fleet manager to ensure equipment and inventory levels
  • Maintain relationships with community partners
  • Monitor daily and monthly revenue projections, collection rates, and revenue per transport
  • Work with the third-party billing company (Systems Design) to ensure timely and accurate billing, and monitor collection performance and payer mix
  • Pull and analyze billing reports (Annual Collection Statistics, Charge Status, Level of Service Summary, Month End Summary, AR Aging)
  • Develop financial models for staffing scenarios, new service lines, and contract opportunities
  • Determine and manage optimal staffing levels and shift structures based on call volume, financial targets, and 24/7 coverage requirements
  • Develop job postings, conduct interviews, and make hiring recommendations
  • Oversee clinical KPI tracking and performance improvement
  • Monitor chart completion and validation rates to ensure documentation meets state/billing requirements
  • Ensure compliance with EMS regulations
  • Monitor/develop dashboards to track volume, revenue, KPI's, QA/QI, trends, and reporting
  • Develop training materials, coordinate ongoing clinical training, and track education for transport staff
  • Staff the ambulance or discharge as needed

REQUIRED QUALIFICATIONS AND SKILLS
  • 3+ years of progressively responsible EMS operations or management experience
  • Demonstrated experience managing P&L, budgets, and financial reporting
  • Experience with Microsoft office 365 tools
  • Strong organizational, communication, and time-management skills
  • Ability to work well within a team and adapt to ongoing changes
  • Experience with EMS billing, payer mix analysis, and revenue cycle management
  • Proficiency with EMS technology platforms (ePCR systems, scheduling software, fleet management tools)
  • Strong analytical skills - ability to interpret financial data, identify trends, and make data-driven decisions
  • Experience developing and managing hospital transport contracts
  • Valid driver's license with clean driving record

PREFERRED QUALIFICATIONS AND SKILLS
  • Active Paramedic certification (or higher)
  • Bachelor's degree in Healthcare Administration, Business, or related field
  • Experience managing multi-state EMS operations
  • Familiarity with ImageTrend Elite, NinthBrain Suite, Fleetio, and/or Kiteworks
  • Experience responding to RFPs and developing service proposals
  • Knowledge of CMS ambulance billing codes and reimbursement structures
