Position Summary

The E-Commerce Order Processing & Customer Service Supervisor is responsible for overseeing the daily operations of the order processing and customer service functions for our fast-paced e-commerce business. This role supervises team members responsible for order management, customer support, returns processing, shipping coordination, and marketplace communications to ensure operational efficiency, order accuracy, timely fulfillment, and exceptional customer satisfaction.

The Supervisor serves as a liaison between customer service, warehouse operations, fulfillment teams, logistics providers, and management while driving process improvements, employee development, and service excellence. The ideal candidate is highly organized, solution-oriented, detail-focused, and hands-on experienced in e-commerce operations and team leadership.

Essential Duties and Responsibilities

  • Supervise, support, train, and provide direction to E-Commerce Order Processing and Customer Service Coordinators and related staff.

  • Monitor daily workflow, productivity, order accuracy, customer response times, and service quality to ensure operational goals are achieved.

  • Train, coach, and develop employees on customer service standards, order processing procedures, systems, and company policies.

  • Provide ongoing performance feedback, conduct performance evaluations, and support employee development initiatives.

  • Assist with scheduling, workload balancing, and prioritization of daily operational tasks and perform the functions during absences of staff.

  • Foster a collaborative, positive, and service-oriented team environment.

  • Reinforce accountability, professionalism, and adherence to company procedures and quality standards.

  • Assist management with hiring, onboarding, and training new employees.

  • Escalate employee performance, operational, or customer concerns to management as appropriate.

  • Oversee daily customer service operations across multiple e-commerce platforms and marketplace channels.

  • Ensure customer inquiries, complaints, returns, replacements, and shipping issues are resolved promptly, professionally, and accurately.

  • Monitor customer communication quality to ensure employees provide clear, detailed, empathetic, and solution-focused responses.

  • Manage and resolve escalated customer service matters and complex order issues.

  • Ensure customer interactions, transactions, and resolutions are properly documented in Excel, Google, NetSuite, and other systems.

  • Identify recurring customer concerns and recommend process improvements to enhance the customer experience.

  • Support initiatives focused on achieving and maintaining high customer satisfaction levels.

  • Supervise daily order processing activities for multiple e-commerce channels including Amazon, Shopify, Walmart, wholesale accounts, and other marketplaces.

  • Ensure accurate order entry, fulfillment coordination, shipment tracking, and timely delivery of domestic and international orders.

  • Coordinate with warehouse, fulfillment, procurement, and logistics teams to ensure operational efficiency and order accuracy.

  • Oversee preparation of shipping documents, routing compliance, packing instructions, and carrier scheduling.

  • Review routing guide requirements from marketplace customers and ensure warehouse teams follow shipping and packaging standards accurately.

  • Monitor inventory-related concerns and communicate with internal teams regarding stock availability and order fulfillment issues.

  • Oversee Return Merchandise Authorization (RMA) processes, including returns, recalls, replacements, credits, and warehouse coordination.

  • Monitor operational metrics, identify workflow inefficiencies, and implement corrective actions when necessary.

  • Assist in developing and improving standard operating procedures and operational workflows.

  • Other duties as assigned.

Reporting & Continuous Improvement

  • Maintain accurate operational records, reports, and performance metrics related to customer service, order processing, shipping, and returns.

  • Analyze trends related to customer complaints, shipping issues, order discrepancies, and operational bottlenecks.

  • Provide regular updates and operational reports to management.

  • Participate in cross-functional projects focused on improving operational efficiency, customer satisfaction, and fulfillment processes.

  • Identify operational risks and support implementation of corrective or preventative solutions.

  • Recommend and implement process improvements to enhance productivity, communication, and customer experience.

Qualifications

Education

  • High school diploma or GED required.

  • Associate’s or Bachelor’s degree in Business Administration, Supply Chain Management, Operations Management, or related field preferred.

Experience

  • Minimum of 3–5 years of experience in e-commerce order processing, customer service, logistics, or operations.

  • Minimum of 1–2 years of supervisory or team leadership experience preferred.

  • Experience working with e-commerce platforms such as Amazon, Shopify, Walmart, and wholesale fulfillment processes preferred.

  • Experience with ERP systems such as Oracle NetSuite strongly preferred.

  • Experience with international shipping, RMAs, carrier coordination, and fulfillment operations is a plus.

Physical and Work Environment Requirements

  • This position involves prolonged periods of sitting, working on a computer, and walking /working in the warehouse where the air is non-controlled.

  • Frequent use of vision, hand/finger dexterity, and repetitive computer tasks is required.

  • Requires an intelligent level of thinking and problem solving.

  • Occasional lifting, packaging, or handling of products may be required in support of returns or replacement processing.
