Job description

Position: Administrative Assistant & Office Coordinator
Department: Norman A. Wiggins School of Law
Status: Part Time
Position Summary:
The Part Time Administrative Assistant & Office Coordinator provides administrative support in all aspects of the day-to-day operation of the Career and Professional Development Center (Career Center), handling a variety of office management tasks and contributing to a positive and professional environment. This position requires a flexible schedule as work involves extended hours during peak times of the academic year as well as occasional evenings and weekend events throughout the year. Travel may be necessary for key events and interview programs.
Essential Duties and Responsibilities:
Office Administration Tasks:
  • Serve as first point of contact for students, employers and guests to Career Center.
  • Assist with answering routine student questions.
  • Manage the office email box.
  • Maintain inventory of necessary office supplies and place timely orders for needed items via Amazon business account.
  • Maintain inventory of swag for programs and events and order items as needed.
  • Provide support with job postings and weekly newsletter when student workers are unavailable.
  • Handle all purchase orders, purchase requisitions and reimbursement paperwork.
  • Assist with creating, printing and organizing nametags and other materials for events.
  • Assist with onsite and offsite program and event coordination, preparation, set up, and logistics.
  • Ensure AV screens are up to date with Career Center content.
  • Provide administrative support to all Career Center team members with individual projects and tasks.
  • Upload contracts to Inteligree.
  • Maintain filing systems and shared drives.
  • Assist with special initiatives.
  • Other tasks that may be assigned as needed.

Other duties as assigned:
  • Throughout the year, there may be new programs, events, or projects that involve the Career Center. This position will provide support as needed.
  • Uphold and abide by Campbell University policies and procedures, including, but not limited to; Title IX, HIPAA, and FERPA guidelines.
  • Maintain a professional appearance and demeanor at all times.
  • Other duties, responsibilities and activities may change or be assigned at any time with or without notice.

Education/Experience:
  • Bachelor's degree required
  • At least 2 years professional experience in a fast-paced client-facing environment as an administrative assistant strongly preferred. Experience in a law firm or law school would be helpful.
  • Proficiency with Microsoft Office and Excel strongly preferred.
  • Experience with Canva and/or MailChimp would be helpful.

Knowledge, Skills, and Abilities:
  • Ability to communicate effectively and collaborate with various constituencies, including students, faculty, law school administration.
  • Excellent interpersonal, oral and written communication skills.
  • Ability to work independently as well as function effectively within a diverse team.
  • Must maintain the utmost degree of confidentiality and professionalism with discernment.
  • Ability to pay close attention to details and produce highly accurate work.
  • Ability to maintain a positive solution-oriented approach to work and maintain a professional demeanor under pressure in high volume periods of the academic year, while managing change and handling multiple projects at one time.
  • Exemplary project management and organizational skills necessary to handle multiple projects, prioritize work, meet deadlines and anticipate needs of office objectives.
  • This position requires accuracy, integrity, honesty and the ability to work within the Christian mission of Campbell University.
