JOB SUMMARY:

The eBooks Supervisor is responsible for the day-to-day supervision of the eBooks operation and the beneficiaries and associates assigned to the department. This position ensures donated books and other approved media are accurately evaluated, listed, stored, sold, and shipped through the organization's Amazon and EBAY seller accounts. The Supervisor leads production, inventory control, order fulfillment, customer service, returns and refunds, reporting, and department readiness while maintaining a safe, orderly, productive, and supportive work environment

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Leadership and Beneficiary Supervision
  • Supervise beneficiaries and associates assigned to the eBooks area; provide daily work assignments, training, direction, coaching, and appropriate follow-up.
  • Organize staffing and workflow so sorting, scanning, listing, shelving, order processing, and shipping activities are completed accurately and on schedule.
  • Monitor individual and team productivity and the department's progress toward established targets.
  • Reinforce professional conduct, confidentiality, safety procedures, and departmental expectations. Promptly report significant performance, conduct, program, or safety concerns through the appropriate supervisory channels.
Production and Listing Management
  • Monitor sorting and product research consistent with current department policy.
  • Oversee the inspection and grading of books and approved media, ensuring accurate condition standards, titles, descriptions, specifications, pricing, SKU assignment, and product listings.
  • Prepare or approve eligible products for listing on the organization's Amazon and EBAY seller accounts and verify that active listings are accurate and complete.
  • Using approved software, generate and download the daily inventory report, price or reprice active inventory as authorized, and upload active listings to Amazon.
Order Fulfillment, Inventory, and Customer Service
  • Process customer orders daily and supervise standard and international shipping to ensure sold items are accurately pulled, packaged, labeled, and shipped by 12:00 p.m. or the current carrier cutoff established by management.
  • Manage inventory rooms, shelves, and stock movement to maintain an adequate, organized, secure, and readily retrievable supply of listed merchandise. Adhere to the inventory purging schedule established by management.
  • Check department email and Amazon/EBAY communications each business morning. Respond promptly and professionally to product-detail, order-status, and shipping inquiries, including providing tracking information when available.
  • Process customer returns within 5 days, or within the current approved return period, and issue authorized refunds for returned or cancelled orders in accordance with organizational and marketplace policies.
  • Review customer feedback daily. Respond professionally to inaccurate or unresolved feedback through approved marketplace channels; when a concern can be resolved or explained, contact the customer with an explanation and apology and, after resolution, appropriately request that the feedback be reconsidered or removed.
Reporting, Compliance, and Department Support
  • Maintain adequate department supplies, including envelopes, packing materials, paper, shipping labels, tape, and SKU stickers, and request replenishment before stock is depleted.
  • Maintain confidentiality of beneficiary, customer, donor, employee, sales, and operational information as required by policy and applicable law.
  • Follow and enforce safety practices established by ARC policy and applicable government regulations, including proper lifting, material handling, housekeeping, equipment use, and incident reporting.
  • Ensure overtime is worked only with prior written approval from the appropriate supervisor and is accurately recorded in the approved timekeeping system.
  • Perform other related written or verbal duties assigned by management.

QUALIFICATIONS:

  • High School Diploma or GED equivalent required.
  • Relevant experience in e-commerce, online sales, inventory control, warehousing, order fulfillment, book processing, or a related operation; prior lead or supervisory experience is strongly preferred.
  • Intermediate computer skills, including experience with scanning equipment, inventory management software, email, spreadsheets or reports, and online selling platforms.
  • Working knowledge of Amazon seller operations and familiarity with third-party e-commerce tools and integrations; experience with ISBN-based product research and pricing tools is preferred.
  • Demonstrated ability to train, direct, motivate, and respectfully supervise individuals with varying levels of work experience and ability, including beneficiaries participating in a residential rehabilitation program.
  • Strong attention to detail and the ability to maintain accurate listings, inventory records, refund logs, reports, and customer communications.
  • Ability to work independently, exercise sound judgment within established policy, collaborate with program and operations staff, and manage multiple priorities in a fast-paced environment.
  • Clear written and verbal communication skills and a consistent commitment to responsive, professional customer service.

PHYSICAL REQUIREMENTS:

  • Ability to sit, walk, stand, bend, squat, climb, kneel, reach, and twist on an intermittent or continuous basis.
  • Ability to grasp, push, pull, carry, and move books, packages, book carts, storage containers, and related materials.
  • Ability to lift or move up to 50 pounds.
  • Ability to perform repetitive motion tasks, including scanning, keyboarding, labeling, sorting, packing, and shelving.
  • Specific vision abilities include close vision and the ability to review screens, labels, barcodes, printed materials, and product condition during extensive computer and inventory work.
