The Talent Acquisition Administrator provides administrative support to Alberici Canada's recruitment function. This role is responsible for coordinating recruitment activities, maintaining applicant tracking systems, supporting interview logistics, and ensuring a positive candidate experience throughout the hiring process.

Key Responsibilities
New Hire & Onboarding
โ€ข Coordinate new hire onboarding activities, including preparing and distributing new hire forms.
โ€ข Administer pre-employment background checks and reference checks through approved vendors.
โ€ข Manage onboarding activities within the company's onboarding platform.
โ€ข Coordinate and distribute new hire welcome gifts.
โ€ข Schedule and coordinate new hire orientation sessions and distribute orientation schedules.
โ€ข Maintain orientation sign-off documentation and onboarding records.
โ€ข Track inventory of new hire welcome items and coordinate replenishment as required.
โ€ข Administer the employee referral program.
โ€ข Prepare and distribute weekly new hire communications to project teams and internal stakeholders.
Interview Coordination
โ€ข Schedule interviews with candidates, hiring managers, and interview panels.
โ€ข Prepare and distribute interview invitations, meeting requests, and interview summaries.
โ€ข Review interview schedules to ensure all required interviewers, meeting logistics, and interview formats are accurate and complete.
Administrative Support
โ€ข Monitor and respond to the Human Resources shared inbox, escalating inquiries as appropriate.
โ€ข Administer recruitment activities within the Applicant Tracking System, including issuing candidate decline communications.
โ€ข Provide administrative support for the company's onboarding platform.
โ€ข Process Talent Acquisition team expenses and recruitment-related invoices.
โ€ข Coordinate and maintain the Talent Acquisition corporate calendar, including recruitment events and key hiring activities.
โ€ข Prepare and administer independent contractor and union employment offers.
Qualifications & Experience
โ€ข Post-secondary education in Human Resources, Business Administration, Communications, or related field
โ€ข 1-3 years of administrative or recruitment experience
โ€ข Experience using Applicant Tracking Systems preferred
โ€ข Excellent organizational and communication skills
โ€ข Strong attention to detail
โ€ข Ability to manage multiple priorities
โ€ข Proficient in Microsoft Office
Work Environment
This position is primarily office-based in Burlington, Ontario, with occasional visits to project sites. Flexible work arrangements, including remote work, may be available in alignment with business needs and the company's remote work policy.
