What does an alarm coordinator do?

An Alarm Coordinator is responsible for monitoring and managing security and fire alarm systems, responding to alarm activations, and coordinating appropriate responses with emergency services or maintenance teams. They ensure that all alarm incidents are logged, investigated, and addressed promptly to maintain the safety and security of a facility or organization. Alarm Coordinators also test systems regularly, update procedures, and may provide training to staff on alarm response protocols. Their role is crucial for minimizing risks and ensuring a swift reaction to potential emergencies.

How does an alarm coordinator typically interact with other departments to ensure effective response to security incidents?

An Alarm Coordinator frequently communicates with security teams, facility managers, and sometimes law enforcement to verify, escalate, and resolve alarm events. They play a central role in relaying crucial information, coordinating rapid responses, and maintaining accurate incident logs. Clear communication and teamwork are vital, as the Alarm Coordinator often acts as the first point of contact during emergencies and must ensure all relevant parties are informed and aligned with protocols.

What are the key skills and qualifications needed to thrive as an alarm coordinator, and why are they important?

To thrive as an Alarm Coordinator, you need a solid understanding of alarm systems, incident response procedures, and basic security protocols, often supported by a high school diploma and relevant on-the-job training. Familiarity with alarm monitoring software, dispatch systems, and communication tools is typically required. Strong attention to detail, effective multitasking, and calm communication under pressure are key soft skills in this role. These competencies ensure timely and accurate responses to alarms, maintaining safety and minimizing risks to property and people.

Job description

Fire Protection Services, LLC is hiring a Fire Alarm Coordinator to manage recurring fire alarm inspection and service scheduling for our Atlanta location. This is a high-volume, high-persistence outbound role - you'll be the driving force behind keeping our fire alarm inspection calendar full and our customers compliant.
If you're organized, thrive on follow-through, and don't let a call go unanswered without a next step, we want to talk to you.
What You'll Do
  • Customer Outreach: Make persistent outbound calls - up to 50 per day - to current fire alarm service clients in the Atlanta area to schedule recurring inspections and testing as they come due, following up consistently until booked.
  • Scheduling Coordination: Partner with Fire Alarm Technicians and Field Leadership to prioritize, confirm, and adjust appointments based on system type, AHJ requirements, and technician availability.
  • Job Closeout & Materials: Support job closeouts and assist with material/parts ordering and staging for upcoming fire alarm service and installs.
  • Service Recommendations: Identify opportunities to recommend additional services (system upgrades, bundling, new offerings) during client calls.
  • Data Integrity: Keep client and job records accurate and current in ServiceTrade and QuickBooks; maintain inspection schedules in Excel/Google Sheets.
  • Administrative Support: Assist with email correspondence and general scheduling support as needed.
What You Bring
  • 1-2 years in customer service, dispatch, or scheduling (fire alarm, fire protection, or life safety industry experience strongly preferred).
  • Excellent phone communication and genuine persistence - you don't give up after one call.
  • High attention to detail and strong organizational skills.
  • Proficiency with ServiceTrade, QuickBooks, Excel, and Google Sheets (or the ability to learn fast).
  • Self-motivated, adaptable, and collaborative in a fast-moving team environment.
Preferred
  • Experience scheduling or coordinating fire alarm inspections, testing, or monitoring services.
  • Familiarity with AHJ (Authority Having Jurisdiction) requirements and inspection compliance timelines.
  • Experience with low-volume, high-persistence outbound calling campaigns.
Location
Based out of our Atlanta office - in-office, Monday-Friday.
Compensation & Benefits
  • Salary: $45,000 - $55,000, based on experience
  • PTO, paid holidays
  • 401(k) with match
  • Medical, dental, vision, life insurance
  • Opportunity to grow into broader client support and coordination roles
