Job description

The Personnel Assistant II provides on-site administrative and personnel support. This role supports day-to-day HR operations, including personnel record management, onboarding, timekeeping, and compliance with contract, company, and U.S. Army requirements. The Personnel Assistant II assists with the timely and accurate processing of employee documentation while maintaining confidentiality and adherence to DoD and contractor personnel policies. Responsibilities * Personnel Records & Documentation:
* Assist in preparing HR forms, reports, and personnel action requests (PARs).
* Support tracking of employee assignments, Mobile ERDS Team rotations, time off requests, and contract-mandated requirements.
* Onboarding & Offboarding:
* Assist in processing new hire documentation, such as but not limited to Systems Access Requests, Company Badge, and documents required to obtain a Department of War Common Access Card
* Coordinate with site security, IT, and supervisors to ensure smooth onboarding.
* Completing Akima's Exit Checklists with departing employees
* Out-processing/offboarding departing employees Akima Exit Checklist\.
* Attendance Tracking:
* Assist in maintaining personnel accountability records for Army contract reporting.
* Receive and maintain TOR (Time-Off Request) forms.
* Support supervisors and employees in resolving timekeeping discrepancies.
* Benefits & HR Support:
* Respond to routine employee inquiries and escalate complex issues to the contract's HR Manager.
* Compliance & Reporting:
* Ensure HR documentation complies with U.S. Army contract requirements, FAR/DFARS labor clauses, and Equal Employment Opportunity (EEO) guidelines.
* Support audits, inspections, and government reporting requirements.
* General Administrative Duties:
* Prepare correspondence, reports, and presentations for HR management.
* Schedule meetings, coordinate training sessions, and assist with HR communications.
* Provide support to site leadership for workforce-related tasks as required. Qualifications * High school diploma or equivalent is preferred; however, equivalent relevant work experience may be substituted.
* 2 years of administrative, or personnel support experience (military contractor or Army site preferred).
* Familiarity with DoD or Army administrative practices, personnel recordkeeping, and compliance requirements.
* Basic understanding of labor regulations (FLSA, EEO, FMLA, and applicable FAR/DFARS clauses).
* Strong organizational and data entry skills with attention to detail.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Ability to maintain confidentiality of sensitive personnel information.
* Strong communication and customer service skills for supporting employees and leadership.
* Must have a REAL ID. * Basic proficiency in the English language (reading and writing). * Must receive a favorable background check and drug testing results.
* Must have a valid driver's license with proof of vehicle insurance.
* Must be able to obtain and maintain a Common Access Card (CAC).
* Must be able to obtain Tier1/ NACI (Public trust) background eligibility.
* Employees may be required to perform other duties as assigned.
* Must be able to travel within the United States as required. This position may require up to 25% travel.
Physical Demands & Working Environment: * Must be able to lift up to 50 lbs. and perform routine standing, walking, bending, and reaching tasks in warehouse and field environments. * Must also meet all physical requirements necessary to perform assigned duties, including working in extreme heat or cold, high, or low humidity, blowing sand and dust, confined spaces, heights, and other inclement weather conditions.
* This position involves working both indoors and outdoors, periodic overtime, and exposure to heat, dust, cold, and adverse weather conditions.
