Job description

  • By using Flight Schedule Pro, creates student and instructor flight training schedules in both part 141 and part 61 operations.
  • Oversees maintenance of aircraft and schedules services accordingly while maintaining accurate logbooks. 
  • Schedules and manages payments for student written exams through PSI. 
  • Works in Flight Schedule Pro to process billing and student financial records.
  • Maintains and creates employee and student profiles in Flight Schedule Pro to include medical certificates, FAA certificates, drivers license, TSA Security Authorizations, and Proof of Residency.
  • Coordinate billing for refueling of aircraft with other FBOs in the northeast region. 
  • Maintains and updates inventory stored at the dispatch office to include oil, oil filters, magnetos, spark plugs, deicing equipment, etc. 
  • Works in Flight Schedule Pro in the training hub to update training syllabuses per Jeppesen.
  • Orders and distributes necessary training materials to students as directed by CFIs and the Chief Pilot.
  • Updates Garmin GX3 and Garmin GNX 375 databases on Piper P100i aircraft.
  • Works with Shepherd Aero, Part 141 certificate holder, to maintain FAA legal requirements for school operations. 
    • Documents included are student training records including graduation and termination certificates for the Part 141 programs; Air Agency Certificates, approved training syllabuses for private, instrument, and commercial; LOAs; etc.
  • Upkeeps the RFA Info email account and distributes and delegates important information to upper leadership as necessary.
    • Maintains a Part 61 interest list for future potential students
    • Maintains a list of inquiries through the RFA website for potential students, donors, mentors, and supporters.
    • Tracks fuel receipts and other miscellaneous expenses and sends them to RFA Accountants. 
  • Daily office upkeep such as taking out garbage, vacuuming, and dusting.
  • Other miscellaneous tasks as directed by the Operations Manager, Chief Pilot, or Director.
