POSITION OVERVIEW
The Spare Parts & Logistics Coordinator is a key operational role within ON.energy's O&M team, responsible for ensuring
that critical spare parts are procured, stored, and deployed efficiently across all active BESS project sites. This individual
will own the end-to-end spare parts supply chain - from developing storage strategies with third-party logistics (3PL)
providers, to managing warehouse relationships and coordinating rapid part deployment to minimize equipment
downtime.
This role is based in our Houston, TX office and supports a growing portfolio of utility-scale BESS projects primarily
across Texas.
KEY RESPONSIBILITIES
Warehouse & 3PL Management
  • Manage relationships with third-party warehouse operators and 3PL providers responsible for storing ON.energy
    spare parts inventory.
  • Evaluate and onboard new warehouse or 3PL contractors as ON.energy's project portfolio expands.
  • Develop and maintain storage consumption estimates (cubic footage, pallet counts, weight, throughput) to support
    RFQ processes with 3PL providers.
  • Solicit, evaluate, and negotiate storage quotes from prospective 3PL partners; present cost comparisons and
    recommendations to leadership.
  • Ensure SLAs for receiving, storage, and outbound shipment are met by all logistics partners

Spare Parts Procurement & Quoting
  • Solicit and manage quotes from OEM vendors, suppliers, and distributors for spare parts across BESS system components (inverters, transformers, DC combiner cabinets, battery modules, and related electrical equipment).
  • Maintain a vendor matrix with pricing, lead times, and availability data to support proactive procurement decisions.
  • Issue purchase orders, track deliveries, and reconcile received goods against orders in coordination with finance and field teams.
  • Identify and develop alternative sourcing channels to reduce lead times and mitigate supply chain risk.
  • Develop and maintain a site-level spare parts strategy that aligns inventory levels with O&M maintenance plans, OEM warranty obligations, and uptime targets.
  • Establish and track minimum stock levels (min/max) for critical components to minimize unplanned downtime across all project sites.
  • Maintain accurate inventory records in the CMMS (Computerized Maintenance Management System), ensuring visibility into on-hand quantities, storage locations, and replenishment triggers.
  • Conduct periodic physical inventory audits at warehouse and site locations.
  • Collaborate with the O&M Manager and Field Service Technicians to anticipate parts demand based on scheduled maintenance, failure trends, and seasonal considerations.

Cross-Functional Coordination
  • Serve as the logistics point of contact for field operations teams, coordinating urgent parts deployment to minimize site downtime.
  • Support contract negotiations with suppliers and 3PL providers by providing data-driven cost and consumption inputs.
  • Maintain documentation for all procurement and logistics activities in support of audit, warranty, and compliance requirements.

QUALIFICATIONS
Required Experience
  • 5+ years of experience in spare parts management, logistics coordination, supply chain, or a related field.
  • Experience working with 3PL providers, warehouse contractors, or industrial storage operations.
  • Proficiency in inventory management systems or CMMS platforms (e.g., Fiix, SAP, Maximo, or similar).
  • Strong analytical skills with the ability to build and interpret cost estimates, inventory models, and vendor comparisons in Excel or similar tools.
  • Excellent organizational skills with a high attention to detail and the ability to manage multiple concurrent priorities.
  • Strong written and verbal communication skills for vendor negotiations and cross-functional coordination.

Preferred Experience
  • Experience in the energy, utilities, or industrial equipment sector (BESS, solar, wind, oil & gas, or power generation).
  • Familiarity with BESS or high-voltage electrical system components (inverters, transformers, battery modules).
  • Experience with Incoterms, freight logistics, and LTL/FTL shipment coordination.
  • Knowledge of NFPA 70E, LOTO, or other safety standards relevant to electrical equipment handling.
  • Experience supporting multi-site field operations teams.
