Essential Job Duties
This position provides fiscal support for the department, largely focused on assisting the faculty and staff with research and Extension grant funding. You will work with the department's Business Service Coordinator and Student Services Coordinator, focusing on day-to-day financial and procurement operations, ensuring compliance with federal, state, and university guidelines. Our department grant funding derives from a varied portfolio of federal, state, and industry/commodity partners with an annual average of $16M and growing.
Key Responsibilities include but are not limited to:
  • Collaborate with faculty and staff to monitor grant funding to ensure accounts comply with sponsor guidelines and reporting schedules, and are closed out timely
  • Provide financial administrative support to primary investigators (PIs), including voucher payments, journal vouchers, review of Pcard transactions, travel authorizations and reimbursements
  • Analyze financial data for accuracy, resolve issues, and correct or reverse entries as needed
  • Attend departmental, college, and university meetings to stay updated on financial policies and procedures
  • Maintain compliance, internal controls, and proper documentation of transactions, providing them to the college Contracts and Grants post-award team as requested
  • Collaborate and partner with CALS CBO

Minimum Experience/Education
High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Preferred Qualifications
  • Intermediate to advanced proficiency in Microsoft Excel and experience with financial systems such as PeopleSoft or similar platforms.
  • Experience working in a fast-paced, dynamic environment with competing priorities.
  • Strong interpersonal skills, with a client-oriented and solution-focused approach.
  • Ability to learn processes and systems quickly and be flexible to change and organizational growth.
