Job Summary
The Research Administration Coordinator will provide administrative support to IBG faculty, graduate students and staff to advance sponsored research activities. This role will serve as a member of a four-person administrative team and will enjoy a broad range of responsibilities with opportunities for growth.

Who We Are
The Institute for Behavioral Genetics (IBG) is an organized research unit of the University of Colorado Graduate School dedicated to conducting and facilitating research on the genetic and environmental bases of individual differences in behavior. Founded in 1967, IBG is one of the top research facilities in the world for genetic research on human behavior. Current research includes both laboratory and population-based studies of aging, neurodegenerative disease, psychopathology, reading and learning disabilities, cognition, substance abuse, behavioral development, and evolution.
What Your Key Responsibilities Will Be
Annual Statistical Genetics Workshop Coordinator: Coordinate registration of workshop faculty and attendees. Assist workshop faculty with travel arrangements and post-workshop travel reimbursements. Coordinate workshop hotel details including rooming lists, catering needs, technical services and receptions. Process honorarium payments to workshop faculty and tutors.
Travel Coordinator: Assist IBG faculty, students, and staff with travel planning and approvals for domestic and international travel. Provide guidance on University and IBG travel policies, including the allowability of travel expenses on federal grants. Prepare and submit travel reimbursements and reports on behalf of travelers in accordance with Purchasing Service Center timelines and requirements.
Administrative Support to the Director: Schedule in-person faculty meetings and virtual research collaboration meetings. Take meeting notes and organize OneDrive files for shared use. Assist with prioritizing and tracking tasks through completion.
Laboratory and Capital Equipment Coordinator: Coordinate routine operational and facilities-related tasks for the IBG laboratories, including scheduling biosafety certifications, arranging water purifier tank replacements, conducting weekly safety compliance inspections, monitoring CO₂ and LN₂ systems, serving as a point of contact for movers and service providers, and submitting work orders for building maintenance issues. Manages the capital asset inventory by tracking equipment in the University database, ensuring asset tags are properly placed and recorded, and responding to periodic audits from Property Services.
Purchasing and Procurement Specialist: Purchase conference registrations, memberships, supplies, software, and other goods and services in compliance with federal grant, University, and IBG policies. Serve as a procurement card delegate for faculty and staff by preparing and submitting expense reports in accordance with Purchasing Service Center requirements and timelines.
Other administrative projects and duties as assigned: Provide administrative support for IBG events, coordinate event logistics, and contribute to special projects and other assignments as needed to support Institute operations.
What You Should Know
  • This position is hybrid (3 days per week in office; 2 days per week remotely) after the training period.
  • Core work hours in IBG are during traditional business hours, 8:00 a.m. to 5:00 p.m. Earlier start times or late afternoon work may occasionally be required.

What We Require
  • A bachelor's degree from an accredited institution and 1+ years of professional experience in higher education administration, research administration, laboratory management, workshop or event coordination, executive support, or a similar role.
  • A combination of education and/or related professional experience may substitute.

  • Intermediate proficiency in Microsoft Excel and Word is required, along with attention to detail to support data entry with a high degree of accuracy.

What We Would Like You to Have
  • 2+ years experience in higher education administration, research administration, laboratory management, workshop or event coordination, executive support, or a similar role.
  • Demonstrated understanding of scientific research environments through relevant academic coursework or professional experience.
