Job Summary

Reporting directly to the General Manager of Wood Buffalo Media Group (WBMG), the Manager, Agency Services is responsible for the day-to-day management of WBMG's external marketing services business, including client relationships, proposal development and support, project delivery, financial performance, and vendor management.

The Manager oversees the client lifecycle from opportunity handoff through proposal development, contract execution, project delivery, client retention, and account growth. The role ensures services are appropriately scoped, resourced, priced, scheduled, and delivered on time, within budget, and to a high standard of quality.

Working closely with the Sales & Commercial Development team, WBMG Team, and external vendors, the Manager ensures client opportunities are effectively transitioned into successful and profitable engagements.

The incumbent will conduct all activities in a manner that supports the mission, vision, and values of WBMG, while ensuring compliance with established Policies and Procedures.


This permanent full-time salaried position is based on forty (40) hours weekly. Additional hours may be required.


Duties & Responsibilities

  • Lead the day-to-day operations of the external marketing services business.
  • Manage the client lifecycle from opportunity handoff through proposal, contract, project delivery, completion, and retention.
  • Collaborate with the Sales & Commercial Development team on Request for Proposals (RFPs), Request for Quotations (RFQs), Request for Information (RFIs), bids, proposals, expressions of interest, and other procurement opportunities.
  • Develop scopes of work, estimates, pricing, budgets, schedules, and resource requirements for prospective and existing client opportunities.
  • Coordinate internal and external resources required for proposals and client projects.
  • Participate in client discovery meetings, proposal presentations, pitches, negotiations, and other activities led by the Sales & Commercial Development team.
  • Assist with the assessment of opportunities for service fit, capacity, risk, pricing, resource requirements, and profitability.
  • Develop and maintain strong client relationships and serve as a senior point of contact for strategic and operational matters.
  • Oversee Account Manager(s), ensuring effective client communication, scope management, responsiveness, and client satisfaction.
  • Oversee client onboarding and the transition from business development to project delivery.
  • Manage statements of work, contracts, change orders, project budgets, and related client documentation.
  • Monitor project scope, schedules, budgets, resources, and deliverables to ensure successful project delivery.
  • Coordinate project scheduling, workflow, production planning, and delivery.
  • Manage external vendors and contractors, including selection, pricing, contracts, scheduling, performance, and quality.
  • Monitor project profitability, margins, vendor costs, utilization, and overall financial performance.
  • Collaborate with Finance to ensure accurate client invoicing, resolve billing issues, and follow up on outstanding accounts.
  • Identify opportunities to expand services and increase value for existing clients in collaboration with the Sales & Commercial Development team.
  • Lead client reviews and address client concerns and escalations.
  • Review client deliverables to ensure quality, accuracy, completeness, and alignment with approved scopes and WBMG standards.
  • Coordinate with the WBMG team on projects involving corporate branding, communications, or shared marketing resources.
  • Develop and maintain processes, templates, and workflows that improve the efficiency and consistency of Agency Services.
  • Monitor workload, capacity, timelines, and resource requirements across active projects.
  • Maintain accurate records of opportunities, proposals, clients, projects, budgets, vendors, and deliverables.
  • Provide regular reporting to the General Manager of WBMG on client relationships, project status, revenue, capacity, profitability, and operational performance.
  • Support annual business planning, budgets, revenue targets, and growth strategies for the external marketing services business.
  • Represent WBMG professionally in client meetings, industry events, procurement activities, and other client-facing settings.
  • Ensure client activities, contracts, marketing services, and vendor relationships comply with applicable policies, contractual requirements, legislation, and ethical business practices.
  • Collaborate with the Sales & Commercial Development team and WBMG to ensure client opportunities and commitments are aligned with organizational priorities and available resources; and,
  • Other related duties as assigned.


Qualifications

  • University degree in Marketing, Business, Communications, Project Management, or a related field is required.
  • Minimum of five (5) years of progressive experience in marketing services, agency operations, account management, project management, or a related field is required.
  • A combination of relevant post-secondary education and experience may be considered.
  • Valid Class 5 Alberta Driver's License and a clean drivers abstract are required.
  • Criminal Record Check is required.
  • Experience working within a marketing agency, professional services environment, or client-service organization is considered an asset.
  • Experience working with Indigenous communities or organizations is considered an asset.
  • Demonstrated experience developing scopes of work, budgets, estimates, pricing, schedules, proposals, and other client documentation.
  • Experience supporting RFPs, RFQs, RFIs, bids, and other competitive procurement opportunities.
  • Demonstrated experience managing client relationships and multiple projects simultaneously.
  • Strong understanding of marketing services, including advertising, digital marketing, graphic design, website development, social media, content development, media buying, photography, video, copywriting, and related services.
  • Demonstrated understanding of project profitability, margins, vendor costs, utilization, and financial performance.
  • Proven ability to manage external vendors, contractors, and service providers.
  • Exceptional written and verbal communication skills, with the ability to develop professional proposals, presentations, client communications, and business documents.
  • Strong organizational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • Demonstrated ability to exercise sound judgement, negotiate effectively, resolve issues, and manage client expectations.
  • Ability to build productive relationships with clients, employees, contractors, vendors, and senior leadership.
  • Demonstrated integrity, professionalism, accountability, and sound judgement.
  • Ability to work independently while collaborating effectively across the organization.
  • High proficiency with Microsoft Office Suite and experience with project management, Customer Relationship Management (CRM), financial, or marketing platforms.
  • Understanding of, or willingness to learn about, Metis culture and the history of the McMurray Metis community, ensuring culturally respectful and aligned marketing initiatives.


Qualified status with the Metis Nation of Alberta or fluency in Dene Cree are preferred candidate traits.
