Role Overview

This is not a typical front desk position.

We are looking for a Client Coordinator who can guide conversations, convert inquiries into consultations, and deliver a high-end client experience.

This role is:

Key Responsibilities Lead Conversion (Primary Focus)
  • Answer calls, texts, and inquiries using Weave
  • Understand client intent quickly and guide them toward booking a consultation
  • Confidently explain our consultation process (paid consultation model)
  • Maintain strong booking conversion and response time
Client Guidance (OHMI Core)
  • Move clients from “just asking” → “understanding their needs.”
  • Position consultation as the starting point for all new clients
  • Support a treatment plan mindset, not one-time service selling
Follow-Up & Lead Management
  • Respond to missed calls promptly
  • Execute structured SMS follow-ups
  • Re-engage leads who have not booked
Scheduling & Calendar Optimization
  • Manage consultation bookings efficiently
  • Reduce no-shows and schedule gaps
  • Coordinate with providers for smooth daily flow
Administrative & Front Desk Support
  • Client check-in / check-out
  • Maintain accurate client records
  • Support payment processing and basic inquiries
  • Ensure a clean, organized, and professional front desk
Manager & Operations Support
  • Assist clinic management with day-to-day operational coordination
  • Help track key tasks, follow-ups, and ensure items are completed on time
  • Support execution of internal processes (lead management, scheduling flow, client communication)
  • Identify gaps or issues in daily operations and proactively flag them
