We are a modern independent firm focused on long-term growth, operational excellence, and thoughtful collaboration across advisory, investment, operations, and client service teams.
Role Summary
The Client Service Associate partners with Wealth Advisors and internal teams to provide responsive, accurate service to clients and prospects. This role serves as a primary point of contact for client service needs and coordinates closely with advisory operations, trading, portfolio management, tax, billing, and other support teams.
Responsibilities include client communications, meeting coordination, onboarding, service request processing, data management, presentation support, and follow-up. Success in this role requires strong organization, communication, judgment, and the ability to manage multiple priorities in a fast-paced environment.
This position may be based in either the greater Bellevue / Seattle or San Francisco Bay Area, depending on business needs and candidate fit. We anticipate a hybrid work arrangement, with regular in-office collaboration expected approximately 1-3 days per week. Remote work flexibility is supported, along with occasional travel.

Core Responsibilities
Client Service and Relationship Support

  • Serve as a primary point of contact for client service requests and communications, coordinating with the client's broader Threadline Wealth advisory and operations teams.
  • Manage a high volume of client and prospect interactions, including inquiries, meeting coordination, and follow-up.
  • Proactively manage client requests from initial receipt through completion, providing timely updates to clients and internal team members.
  • Support client experience initiatives, including recognition of birthdays, anniversaries, promotions, and other significant life events.
  • Assist with client projects and initiatives that support the broader wealth advisory team and enhance the client experience.
Client Onboarding and Account Administration
  • Manage and track the client onboarding process, including internal and custodial paperwork, CRM data entry, client communications, and quality-control reviews.
  • Gather, organize, and maintain prospect and client information in Microsoft Dynamics, Laserfiche, and other internal systems.
  • Monitor data accuracy and integrity to ensure client records remain complete, current, and consistent across systems.
  • Process client service requests through Laserfiche and route tasks to the appropriate internal teams.
  • Track outstanding items and ensure client and account-related tasks are completed accurately and on time.
Advisor and Team Support
  • Respond to requests from advisors and team members in a timely and accurate manner.
  • Keep advisory teams informed of client projects, service requests, upcoming meetings, and required follow-up.
  • Organize weekly team meetings, prepare agendas, and track action items and project status.
  • Review and edit client presentations and other client-facing materials as requested.
  • Support client events, prospect activities, and other marketing initiatives.
  • Proactively manage advisor calendars for client-related meetings, including scheduling, logistics, and meeting preparation.
  • Coordinate virtual and in-person meetings with prospective and existing clients.
Process and Operational Excellence
  • Follow established standard operating procedures and use approved technology platforms to support consistent and efficient workflows.
  • Identify incomplete information, workflow issues, or service delays and escalate them appropriately.
  • Contribute to process improvements that enhance service quality, accuracy, and team efficiency.
Qualifications
  • High school diploma or equivalent required.
  • At least one year of relevant administrative, client service, or operations experience; experience in financial services, legal services, or another professional services environment is preferred.
  • Proficiency in Microsoft Office; advanced skills are preferred.
  • Strong written and verbal communication skills.
  • Sound judgment and ability to prioritize and manage multiple responsibilities.
  • Ability to maintain professionalism, exercise discretion, and protect confidential information.
  • Ability to work effectively both independently and as part of a team.
  • Strong problem-solving skills, including the ability to identify issues, gather relevant information, and determine appropriate next steps.
  • Flexibility to adjust work hours as needed to meet business and client service needs.

Compensation and Benefits
  • Base Salary: $63,000-$86,000, commensurate with experience. This position is classified as nonexempt and is eligible for overtime compensation in accordance with applicable law and firm policy. Additional discretionary compensation may be available based on individual and firm performance.
