Scope of Position

Under the direction of the Team Lead, Wealth Management Operations – Wealth Management, the Advisor Assistant will be responsible for providing day-to-day support services to the Wealth Management sales force in the Investment Division (Formally IIROC) platform. Responsibilities include assisting in the preparation of client meetings, transaction documentation, and participating in campaigns or special projects in order to allow the Advisors the opportunity to maximize time efficiency and productivity to develop wealth creation strategies for clients and gain new business and revenue. 

The incumbent will be committed to some continuing education and keep current with related industry issues to better support the Advisors.  The Advisor Assistant will hold a current IIROC license and must be familiar with Privacy laws and industry regulations and abide by the applicable rules and regulations at all times.

Major Responsibilities

  • Onboards new clients and maintains current client book of business ensuring accurate and up-to-date client records in the contact management system.
  • Gathers information from Investment Advisor as needed to fulfill compliance requirements as well as client related requests.
  • KYC Standards: Plays a critical role in maintaining up-to-date client information, proactively managing “Know Your Client” (KYC) data updates, and ensuring all documentation complies with regulatory standards.
  • Client Risk Profiling: Collaborates with Investment Advisor to review and document accurate client risk tolerance levels, investment objectives, and time horizons, ensuring suitability of investment recommendations.
  • Investment Strategy: Assists in the identification and communication of suitable investment models based on client segmentation and investment goals, helping Advisors tailor portfolios that align with evolving market conditions and client needs.
  • Investment Structure & Fees: Supports the Advisor in educating clients about the comparative benefits of various investment structures (e.g., fee-based vs. commission-based), contributing to profitability and turn rate within of book of business.
  • Supports Investment Research and Client Education: Assists in conducting preliminary research on stocks, mutual funds, and ETFs to support Advisor recommendations, and helps articulate the rationale behind these options to clients in alignment with their financial goals, risk profiles, and time horizons.
  • Business Growth: Reviews segmentation summaries of the client base and identifies revenue and referral opportunities and encourages efforts to have Alterna Savings members invest in wealth offering increasing member penetration.
  • Advisor Support: Provides Advisors with accurate, timely information on market conditions and product options, helping them deliver well-informed recommendations and maintain client confidence for ongoing client meetings.
  • Client Relationship Maintenance: Acts as a reliable point of contact for clients regarding account inquiries and follow-ups, building trust and reinforcing credit union values in the process.
  • Informing clients of maturing GIC and re-invest fund s as requested by Advisor
  • Checking/investigating buy/sell orders and reporting back to Advisor of any discrepancies
  • Investigating and resolve enquiries and complaints related to accounts and refer to the Advisor where appropriate
  • Track transfer of assets from other financial institutions and follows up with dealer and mutual fund companies for problem resolutions
  • Helps clients with general inquiries, account and product related inquiries and problem resolution
  • Proactively contacts clients for KYC update and foster the Alterna Wealth relationship
  • Assists with seminar preparation and arrange facilities and equipment as appropriate.
  • Ensure adequate quantities of Aviso marketing material is available.
  • Uncovers support needs of Advisors, discuss with Manager and team-members and participate with its implementation.
  • Keeps Manager & other team members apprised of day to day operational issues/concerns and work together to resolve and improve process
  • Participates in developing campaigns or project initiatives to create wealth for clients and Alterna.
  • Other duties as required.

     

    Expectations / Outcomes

    • Be a resource and assist the Wealth Management sales force (Investment Advisor / Wealth Advisor) so that they become more efficient and have more opportunities to acquire new business and better serve existing clients and retain assets.
    • Assist in developing & implementing strategies for growing the business.
    • Ensure All documentation, files and client Information is compliant with industry regulations and Laws with complete accuracy

       

      Qualifications

      Education / Certification / Experience

      • Post-secondary degree/diploma in a related field considered an asset
      • Completion of the Canadian Securities Course (CSC) and Conduct & Practices Handbook Course (CPH) required
      • Minimum 2 -3 years of administrative or client service experience in wealth management, or a similar environment
      • Experience supporting licensed advisors in an administrative or assistant capacity considered an asset.

      Knowledge / Skills      

      • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort working within CRM and document management systems.
      • Strong knowledge of planning software
      • Basic understanding of Mutual funds, securities market and Insurance
