Job description

Overview
The Recruiting Senior Specialist plays a critical role in delivering an exceptional candidate, hiring manager, and recruiter experience for the Corporate Talent Acquisition team. This role manages recruiting coordination, candidate communication, interview logistics, onboarding support, reporting, and recruiting operations across multiple business functions.
This individual will partner closely with Recruiters, HR Business Parters, Hiring Leaders, Administrative Assistants, and cross-functional partners to ensure a seamless recruiting process from requisition launch through onboarding. The ideal candidate is highly organized, detail-oriented, service-driven, and comfortable using technology, data, and AI-enabled tools to improve recruiting efficiency and candidate experience.
This role is essential to helping Catalyst Brands attract, hire, and retain top talent to support business growth.
Responsibilities
  • Coordinate and support recruiting and HR operations, including interview scheduling, candidate correspondence, travel arrangements, relocation coordination, background check processes, requisition management, applicant tracking system updates, and onboarding activities.
  • Support multiple recruiters across multiple lines of business, ensuring recruiting processes are executed accurately, efficiently, and on time.
  • Partner closely with Recruiters and HR Business Partners to support external candidate transitions into internal roles, including onboarding coordination.
  • Deliver a best-in-class candidate experience by providing timely communication, clear process guidance, and high-touch support throughout the interview and hiring process.
  • Serve as a lead problem-solver for scheduling conflicts, travel coordination, onboarding questions, and other recruiting process needs.
  • Pull recruiting data from the applicant tracking system and create monthly reporting, Excel worksheets, charts, and dashboards for Talent Acquisition updates.
  • Use AI-enabled tools and recruiting technology to support scheduling, candidate communication, reporting, process documentation, workflow efficiency, and recruiting operations.
  • Maintain accurate candidate, requisition, and hiring process data in the applicant tracking system.
  • Provide outstanding internal customer service by responding to inquiries from Hiring Leaders, HR partners, Recruiters, Administrative Assistants, and other internal stakeholders.
  • Build and maintain strong working relationships across Corporate Recruiting, Human Resources, Hiring Leaders, and business departments.
  • Identify opportunities to streamline recruiting processes, improve candidate experience, and increase operational efficiency.
  • Support additional administrative tasks, projects, and recruiting initiatives as assigned.

Qualifications
  • 2-3 years of experience in a support, coordination, recruiting coordination, HR coordination, or talent acquisition operations role, preferred
  • Advanced Excel skills, including the ability to build worksheets, reports, charts, and data summaries.
  • Experience using applicant tracking systems and recruiting tools preferred.
  • Working knowledge of AI tools and the ability to use AI responsibly to improve productivity, communication, reporting, documentation, and recruiting process efficiency.
  • Strong attention to detail, accuracy, follow-up, and follow-through.
  • Demonstrated ability to manage multiple priorities in a fast-paced, deadline-driven, and interruption-driven environment.
  • Strong project coordination and organizational skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to deliver exceptional service to candidates, hiring leaders, HR partners, and recruiting team members.
  • Strong problem-solving skills and ability to remain calm, professional, and solution-oriented when priorities shift.
  • Ability to handle sensitive and confidential information with discretion.
Preferred Experience
  • Recruiting coordination or HR coordination experience in a corporate environment.
  • Experience supporting multiple recruiters, business functions, or high-volume scheduling needs.
  • Experience preparing offer materials, onboarding documentation, recruiting reports, or hiring process communications.
  • Familiarity with AI-enabled productivity tools, scheduling tools, reporting tools, or recruiting automation platforms.
