As a Laboratory Administrative Assistant for IDEXX's veterinary diagnostic reference laboratory is a positive, motivated, sef-starter that seeks to find success through helping others and digging in to get the task done! In This Role:

You will be assisting the lab with a variety of tasks.

You will use your stellar organization skills to support a fast paced, ever growing business with valuable task and time management.

Your main responsibilities include: ordering lab supplies, assisting with inventory, and restocking.

You will be working with our leadership team that includes the lab manager, supervisors and team leads to gather information regarding the needs of the lab, ordering, maintenance requests, etc.Stellar communication skills are a must.

You will also be managing our vendors and other third parties by coordinating services, certifications, and inspections. These responsibilities could include: purchasing supplies, assisting with send outs, scheduling and attending meetings, assisting with QA, tracking all receipts for purchasing cards, mail sorting, assisting with deliveries, and other duties as needed.

WhatYou Will Need to Succeed:

You possess knowledge of Ordering Systems-SAP (preferred)

You have experience working with vendors and service representatives

You have advanced Microsoft Office proficiency especially Excel (formulas, pivot tables, data cleanup, basic analysis), plus strong use of Outlook, Word, Teams, and SharePoint for workflow coordination.

You possess high organizational discipline, you are able to manage calendars, documents, priorities, and competing deadlines with structure and consistency

You have initiative and self-direction, are able to spots gaps, solve problems before they escalate, and doesn't wait to be told what to do.

You practice proactive ownership, you are able to take charge of situations, follow through without reminders, and keep others informed.

You have clear communication skills-writing and speaking in a way that reduces confusion and keeps processes moving.

You have process-minded thinking by creating checklists, improving workflows, and building repeatable systems rather than reinventing tasks each time.

You will have a fine attention to detail and take pride in checking items off your list

You are a master multi - tasker with the ability to shift priorities

You are proactive, possess a can-do attitude and focus on being positive and providing solutions

You bring a proven track record of managing administrative tasks in a fast - paced environment and the ability to self-manage

You have excellent presentation skills and know how to prepare material for meeting agendas

Able to meet the physical requirements that go with working in a lab - standing and sitting for extended periods of time, use of hands, fingers, and arms to handle tools and controls, occasional need to climb, balance, stoop, kneel, crouch, or crawl, lift up to 25lb, and specific vision ability - close, color, depth perception, and ability to adjust focus

This is a laboratory, so there is potential exposure to biohazards, agents known to cause zoonotic diseases, and hazardous chemicals

What You Can Expect From Us:

Hourly pay rate targeting: $ 23 / hr but will be based on experience and qualifications

The hours for this position are: 9am - 5:30pm

The schedule for this position is: Monday-Friday

This is an on-site position, applicant must be able to be in the lab during their schedule. This is NOT a hybrid or remote position.

Hours may vary based on needs of the lab (ie. there may be times where you will be meeting vendors, etc. outside of the hours above)
