Our Front Desk Administrative Assistant is a key part of the team that provides essential support to the Coastal Debt Resolve Management Team. This role is responsible for the front desk office and lobby area, general office duties, onboarding and offboarding, training classes preparation, some IT set-up, and providing some administrative support to the sales, legal, and marketing teams. Responsibilities: Front desk: answering phones, greeting guests, providing vendors, clients, and guests entry to our suite, and taking ownership of front desk responsibilities. General office: stocking and maintaining kitchen break room areas with snacks, coffee, and other kitchen necessities. Checking mailbox. Placing catering orders. Booking flights and restaurant reservations for Executives. Filing bills and receipts. Employee of the Month preparations. Onboarding and Offboarding: including but not limited to: sending Welcome email, distributing new hire documentation and preparing for the new hire orientation, creates access to our suite and upon termination deactivates access, completion of I-9 via EVerify. Training class: provides materials and conducts introduction to our Trainer. Sends email to Executives, CRM Manager and Trainer confirming trainees Knowledge, Skills, & Abilities: Strong organizational skills and attention to detail. Proficiency in Google Office software and other relevant software. Effective written and verbal communication skills. Ability to handle sensitive and confidential information with discretion while maintaining confidentiality. Time management skills and proven ability to meet deadlines. Results-driven and client-focused professional. Proactive, positive, and adaptable approach to tasks and challenges. Ability to work effectively in a fast-paced and dynamic environment. Required Education & Experience: High school diploma Preferred Education & Experience: Associate degree or equivalent. Proven experience as an administrative assistant, office assistant, or similar.
