Job description

Teche Health, A Federally Qualified Health Center, per Section 330 of the Public Health Service Act, is currently seeking qualified applicants for the Administrative Assistant position in Franklin, LA.

JOB SUMMARY:

Performs general clerical duties, including but not limited to photocopying, faxing, mail distribution, and filing. Coordinates and maintains records for staff office space and phones. To ensure all administrative tasks are efficiently and effectively implemented.

JOB DUTIES AND RESPONSIBILITIES:

  • Welcome and greet clients and office guests by providing excellent customer service.
  • Screen phone calls, redirect calls, and take messages.
  • Provide general support to visitors and direct them to the right departments if need be.
  • Maintain a clean, organized, and professional reception area.
  • Manage the administration Sign-in Book. (Distribute Visitor’s Badges) and notify staff of arrivals.
  • Check each building for outgoing mail.
  • Run postage on all outgoing mail.
  • Order food for meetings.
  • Manage boardroom calendar and coordinate daily office activities.
  • Receives deliveries; sorts all packages from FedEx and UPS. Notify Rebecca when packages are received for inventory purposes. Place tickets in SysAid for all packages once checked in.
  • Place a ticket in SysAid for temperature-sensitive packages.
  • Handle all administrative requests and queries.
  • Prepare and organize meeting materials.
  • Set up conference room or virtual meetings.
  • Receive deliveries; sort and distribute all mail from all sites.
  • Organizing and scheduling meetings.
  • Write and distribute emails, correspondence memos, letters, faxes, and forms.
  • Maintain contact lists.
  • Perform special projects as assigned.
  • Perform data entry and maintain filing system (physical and digital).
  • Ensure operation of equipment by completing preventive maintenance requirements (calling for repairs).
  • Handle sensitive information in a confidential manner.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to satisfactorily perform each duty described above. The following requirements are representative of the knowledge, skill, and/or ability required for this job. 
 
Education/Experience:
High school diploma or general education degree (GED) required. An associate’s degree in business administration is preferred.
  • 1-3 years of clerical, secretarial, or office experience.
  • Data entry experience preferred.
  • Working knowledge of general office equipment. 
  • High degree of attention to detail. 

Communication Ability: 

  • Strong verbal and written communication skills.

Math Ability:

  • Basic math skills

Computer Skills: 

  • Proficient in computer skills, including Microsoft Office.

Professional Skills:

  • High level of confidentiality required. 
  • Ability to work independently.
  • High degree of attention to detail.
