Job Description

The Administrator provides support to the Associate Executive Director, Technology Services and is responsible for ensuring the smooth running of day-to-day administration and management of all areas within Technology Services.

This individual will be responsible for:

  • Preparing complex correspondence, reports, and presentations often using Word, PowerPoint, Excel, and other graphics and project planning programs as appropriate.
  • Compiling, distributing, entering and verifying expenses for all accounting reports. He/she will interact with accounting, and carry out troubleshooting functions as necessary. Generates purchase orders, processes invoices and verifies the monthly statements.
  • Monitoring the budget, including tracking expenditures and providing monthly reports to AED.
  • Managing individual and department expense reports and processing through to payment.
  • Supporting the AED's special projects that may include, gathering and summarizing data and analyzing information.
  • Organizing and maintaining files of AED's correspondence and records, following up on pending matters.
  • Receiving and screening telephone calls, letters, and/or visitors. Answering routine questions and furnishing information to facilitate efficient operations.
  • Scheduling appointments and making arrangements for meetings, conferences, and travel.
  • Managing weekly staff Attendance Records and processes staff Travel Expense Reports, including maintaining records of same.
Qualifications

A College degree is preferred or equivalent additional experience with a minimum of 5 years' experience supporting C-level management in a Technology focused entity or Technology focused role required. In addition candidate must have:

  • Excellent communication skills both written and verbal, and be able to interact with internal and external contacts in a professional and efficient manner.
  • A high level of proficiency in advanced applications of office computer software such as Microsoft Office Suite and SharePoint.
  • Ability to properly multi-task and prioritize work by considering its risk, importance, urgency, and potential business, organizational, or customer implications.
  • Highly professional, polished, reliable and strong self-starter with a "can do" attitude in addition to a flexible approach.
  • Extremely high level of discretion pertaining to confidential information
  • High sense of urgency, drive and willingness to do what it takes to get the job done
  • Keen ability to follow instructions and understand those instructions with little or no follow up.
  • Willingness to learn.
