Front Desk Administrator
Suite Living Senior Care | Full-Time, Non-Exempt
Schedule: Full-Time, Monday-Friday | 8:00 AM - 4:30 PM
Job Type: Full-Time, Non-Exempt (Hourly)
Compensation: $21.00 (based on experience)
Location: White Bear Lake, MN

Position Overview
We are seeking a highly organized and professional Front Desk Administrator to support our corporate office operations. This role serves as the first point of contact for visitors, vendors, and employees while also providing administrative support across departments. The ideal candidate is detail-oriented, dependable, and able to manage multiple priorities in a fast-paced office environment. This position is essential to maintaining a smooth and efficient workplace.
Key Responsibilities
  • Serve as the first point of contact for the corporate office, greeting visitors and directing them appropriately
  • Answer and manage incoming phone calls, routing inquiries to the correct departments
  • Maintain conference room schedules and coordinate meeting logistics
  • Prepare and organize meeting spaces, including materials and supplies
  • Sort, distribute, and manage incoming and outgoing mail and deliveries
  • Provide administrative support to various departments as needed
  • Assist with onboarding materials, including assembling new hire packets and employee badges
  • Prepare and organize corporate materials such as marketing packets and internal documents
  • Order and maintain office supplies and coordinate vendor orders (e.g., business cards, office materials)
  • Support general office organization and ensure a clean, professional front office environment

Qualifications
  • 1-3 years of experience in an administrative, receptionist, or office support role
  • High school diploma required; associate or bachelor's degree preferred
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Strong organizational and time management skills with the ability to multitask
  • Professional communication skills, both written and verbal
  • Reliable, detail-oriented, and able to work independently
  • Experience working in a corporate or multi-site organization is a plus
