Job description

We’re looking for a dynamic and detail oriented Benefits and Compliance Manager to lead and elevate our employee benefits programs and HR compliance initiatives. In this high impact role, you’ll serve as a trusted partner to employees, leadership, brokers, and vendors while helping shape programs that support our people, strengthen our culture, and drive organizational success.

The Benefits and Compliance Manager is responsible for the administration, coordination, and continuous improvement of Quiddity's employee benefits and compliance programs. This role ensures benefit programs are delivered effectively, remain compliant with applicable regulations, and continue to meet the evolving needs of employees and the business.

As a key member of the HR team, the Manager will oversee benefits operations, compliance activities, vendor relationships, reporting, and audits while identifying opportunities to improve program effectiveness, employee engagement, and cost efficiency. The position partners closely with brokers, carriers, Payroll, and HR leadership to deliver a seamless and positive employee experience.


Benefits:

  1. Responsible for managing and administering benefits and 401(k), serving as the subject matter expert in all areas of employee benefits.
  2. Acts as primary liaison with benefits broker to research and develop benefits offerings for HR Director.
  3. Creates Quiddity's wellness programs.
  4. Interfaces directly with insurance carriers to research and resolve benefit eligibility and enrollment issues. Resolves complex individual employee benefit issues, acting as the liaison between Quiddity's insurance providers and employees as a part of the benefits issues escalation process.
  5. Administers benefits enrollments and terminations, COBRA, FMLA, claims related to disability, accident and death, 401(k) administration including rollovers, distributions, hardships, compliance and drug testing programs, and other benefits programs that are offered by Quiddity.
  6. Manages 401(k) administration supports 401(k) advisory committee.
  7. Sets up and maintains HRIS related benefits systems including electronic enrollment process, codes and premium calculation tables for all benefit plans.
  8. Performs various audits comparing detailed reports from multiple systems, reconciles and corrects records, as necessary.
  9. Monitors lost-time injuries/ illnesses and worker’s compensation claims; reviews injury/illness and non-injury incident investigation reports and follows up, as necessary.
  10. Manages and approves billing ,identifies and resolves billing discrepancies; and recommends payment of billing statements, for final approval.

Compliance:

  1. Keeps current with changes in laws, industry trends, regulations, best practices, and employment law and makes recommendations as needed in order to maintain compliance.
  2. Acts as the main point of contact with, and maintains relationships with our brokers, and alerts HR leadership to issues that need to be addressed.
  3. Ensures Benefits and HR processes and documentation are meeting all legislative, client and internal business requirements: Recommends, develops, implements and revises Benefits and HR polices, as necessary.
  4. Working with payroll and other groups, coordinates the preparation and submission-in a timely manner-of all required regulatory reports to appropriate government and other agencies. Coordinates all audits related to benefits and compliance requirements.
  5. Works with other HR members to disseminate information to management and employees and to facilitate appropriate awareness and training
  6. Works with senior leadership to develop plans and procedures to resolve identified issues or to meet business requirements.
  7. Is the first point of contact for all inquiries related to HR compliance requirement, audits, reporting or issues. Act as a liaison with other departments to direct compliance issues for investigation and resolution.
  8. Maintains reviews and recommends vendor invoices related to compliance and benefits services, for final approval by the head of HR.

Education and/or Experience:

Bachelor’s degree and a minimum of 5 years of progressively more responsible benefits and compliance experience in corporate environments or HR industry based certification/continuing education and a minimum or 7 years of progressively more responsible benefits and compliance experience in corporate environments.

  • 5–7 years of experience in benefits administration and HR compliance.
  • Experience working with brokers, carriers, or third-party administrators.
  • Experience supporting multi-state workforce preferred.
  • CEBS, CBP, PHR/SPHR, or SHRM-CP/SCP preferred

Other Job Skills:

  • Experience building benefits plans in and administering HRIS; experience with Paycom a plus.
  • Competent in Microsoft Office Cloud products – Word, Excel, PowerPoint.
  • Knowledge of benefits procedures and laws and associated employment law.
  • Experience supporting audits and regulatory filings.
  • Working knowledge of ERISA, ACA, COBRA and HIPAA.
